1 November - December 2016 Rockin' Times Hotline * cwcjc@jitterbugchicago.com * Website: Joanne Kokalj President By now, most if not all of you know that we have lost another founding board member. Bob Burke passed away on Sept. 23rd. Bob was active in the beginning helping set up the club; unfortunately, due to work responsibilities Bob was unable to become part of the original board. Bob s contributions to the club are greatly appreciated and he will be missed by all of his many friends. We will be dedicating the dance of Dec. 3rd to him. At our meeting in August, we discussed the club s equipment, specifically the speakers. The 2 speakers that we had were working; but they were getting old and they were very heavy (approx. 50lbs each.) New speakers will have a better sound quality and be a little lighter. Also, underneath the table that holds the mixing board (you don t see this because it s covered up with a tablecloth) there is a large, heavy amplifier. Gay Essary has been checking things out for the club including her and Randy going to actually listen to different speakers. We have purchased 2 new speakers which will have the amplifier included right in the speaker, thus eliminating one piece of equipment. The new speakers will also have a higher wattage. The wattage on the old speakers was 500, and the new ones will have 1000 watts. The speakers will still be heavy approximately between 35 and 40 lbs each, but at least they will be lighter than what we had. Music is the most important part of our club dances, so we felt it was time to upgrade. The new speakers cost $1, for both, plus another $100 for the cables and we have also purchased protective covers for the speakers which ran around $ The current speakers and amplifier that we use at the dances will now become the back up equipment, and we sold what was our back up equipment prior to purchasing the new speakers. For now, we will keep the current mixing board, but in the future we may look into replacing that also. I want to thank Gay Essary for making back up CDs for the club. In the near future several of the board members will learn how to operate the equipment (just in case). Our DJs and guest DJs receive a schedule for when they will be playing well in advance of the date. It is very unlikely that both of our regular DJs would be unavailable at the same time, but this could happen. Although, we do have other DJs that we can call upon, it is better to be safe than sorry. Inside the newsletter there is a list of requested items for our Vets collection which will take place at the Nov. 5th dance, we will also be having a tribute to our Vets that night. Don t forget to make your Chevy Chase reservations (flyer enclosed). It s a great night of dining and dancing; so come out and help celebrate the club s 27th anniversary. Please take the time to read the important message from the board regarding a by-law change requesting the elimination of 2 board positions. This will appear on the ballot at the election on December 3rd. See you at the dance, Joanne
2 IMPORTANT MESSAGE FROM THE BOARD We have an election coming up on December 3rd and there will be a by-law change requested on the ballot. We would like to eliminate two board positions: 1st Vice-President and Audio Director. When the board positions were created there was a need for them, but over the years things change and we need different jobs with different responsibilities. And, in some cases we just don t need the position any more. We have run for 3 years now without a 1st Vice-President, the majority of responsibilities of that job has been distributed between the Technical Director and the Volunteer/Hospitality Director and the rest of the board. While the 1st Vice-President is there to assist the President and to take over if the President is unable to perform their duties, the board working together is more than capable of running the club in the absence of the President. At the same time we would like a title change, with the elimination of the 1st Vice- President we would like to drop 2nd from the 2nd Vice-President and just call the position Vice-President. As for the Audio Director, this position requires knowledge of the club s equipment and how to operate it and take care of it. Normally, in the past this position was filled by a DJ, but not always. We feel that it would be a mistake to leave the position open and to have someone run, who unfortunately, may not be able to fulfill the responsibilities of that job. In our club by-laws under the section called Advisors it states: any member of the Board of Directors from a previous term may be invited to serve in a non-voting advisory capacity to the existing Board of Directors. In addition, the Board of Directors has the authority to bestow advisory capacity to individuals who are acknowledged professionals. Advisory members will not hold office nor have voting privileges or serve in any other official capacity with the corporation. If the changes are approved the board will then name Gay Essary as the Audio Advisor. We feel that she is the most knowledgeable person for that position and she has a very good understanding of what is required for that position. If you are in agreement with all of these changes you will see a request to change the Numbers and Powers portion of the by-laws. Currently it states the Board of Directors shall consist of 5 officers and 4 directors, this would change to 4 officers and 3 directors. If in the future there is a need to add positions to the board, we will request that a by-law change be made, but for now we feel this is the best decision for the club at this time. Please know that any decisions we make are given much thought and are always made with the club s best interest as the number one priority.
