6 Board Meeting Highlights, May 21, 2014 Call to Order: (Nancy) 7: 05 PM Attending: AJ, Nancy, Murray, Janice, Veronika, Gerald, Russ Approval of April 16 Board Meetings Minutes: Janice motioned to approve, Murray seconded, amended minutes and Highlights approved. Treasurer s Report: (Gerald) Checking: $12,657; Money Market: $48,601; Total: $ 61,258. Financial report sent out via . May shows were not included. (Nancy): Expenditure wise, we are halfway through the fix-it list and on budget. Motion by Janice to approve, seconded by Murray. Approved. Membership: (Veronika) Five pending working families and one pending working single. Committee Reports Horse Shows Dressage: (Janice) We grossed $1,700, made over $1K. It was smaller than the huge one in March, and closer to the usual amount. Gymkhana: (AJ) Smaller than last year, bringing in under $1K. Put some more flyers out for next month. Fun Show: No report. Volunteers for Hunter/Jumper show: Notice for volunteer opportunities will be put in Horse Tales. Chuckwagon: (Nancy) No report. Pony Club: No report. Drill: No report. Polo: (Russ) Asking if there are any objections to build a hitting cage on the property, adjacent to the donkey property line, about 15 x 30 feet, fully funded by Polo, with no expense to PVRA unless lights are installed, which is a whole other cost that s not on the list at this point. Russ: Also, requests consideration of a permanent or semi-permanent tent over the Chuckwagon, like during the Rodeo. Rodeo may toss in some since it pays the rental every year. Not sure how it would do during the seasons. Janice: It would be great if there were a sponsor. Murray: Sunshade is a product that lasts 7 or 8 years. A wooden structure would last longer about 20 years. Russ: I will run it by the Rodeo Page 6 Horse Tales July 2014 board to get some help money-wise because we could increase rent to balance out what Rodeo pays to rent tents, lights, etc. Rodeo: No report. Senior Center Room Rental: (Janice) The City needs to rethink putting the general meetings in the small rooms. Could be a Fire Marshal issue. Nancy: I will look into it. Marketing: (Nancy) In the future, we need more time to consider committee suggestions like the introducing new people to horses concept we had last month. Board Member of the Month: John. Trainer Certificates: (Murray) All okay. Old Business City Property Inspection: (Nancy) Done, and passed with flying colors. Fix-It List: (Nancy) The lights, parking light, plywood/paint order, and tree trimming are all done. The eucalyptus tree is cleaned up. November through February is pine tree trimming time and should be noted to the next board. It was $1,900 for 10 trees, plus chopping up leftover branches for $100. Footing/Sand: (Nancy) I dropped the ball and forgot to order. Dressage and warm up need it now. The questionnaire needs to be sent out to show managers ( 2014 Footing Questionnaire for Show Managers ) Casey, Jessica, AJ, Dawn, Janice, Russ, Staci. New Business PC District Commissioner: (Nancy) Louann has resigned as PCDC and it is unknown who is taking over. Nina Hayes is co-dc. I am not sure if she steps up or not. New hose: (Nancy) Jay would like to buy a 150 foot heavy duty hose for the fire season and has asked to keep the water truck full during hot weather. Both requests approved. Motion to adjourn by Murray, seconded by Gerald, adjourned at 8:30 Ω
