2 PRESIDENTS REPORT If we look back over this last year, this was our fourth year of competition at the Alexander Park ground. Our main concern at the start of the year was consideration of what adjustments we may have to make to our competitions if Equestrian Australia, or more particularly, Dressage NSW, introduced restrictions relating to the management of the Hendra virus. Fortunately commonsense prevailed, after a lot of lobbying from concerned horse owners, and competition has proceeded as normal, but with a heightened awareness of our need to be diligent and aware of health issues, especially as we attract horses travelling from northern areas of the state. Also at the beginning of the year we became aware of changing circumstances at Alexander Park grounds, as a huge pile of dirt appeared, taking up considerable parking space for horse trucks and floats. This made it obvious that we need strong representation on the Grounds Committee, a subsidiary of Port Stevens Council, to monitor issues relating to the use of the grounds and have input into the management of the grounds. Again, between our July competition and our September Championships, a fenced area was constructed, for use of Pony Clubbers, which has encroached on warm-up space and changed access to the space for arenas. It is essential that we have committee members who can represent our club s views on the Grounds Committee; it would be very helpful to enlist committee members who live locally, in order to facilitate strong representation as Treasurer Chris Sullivan and Vice-President Joyce Laidler live some distance away. Management and preparation of the sand arenas is an issue also referred to the Grounds Committee; it would be very useful to have a local member who could take on responsibility for taking action to improve maintenance of these arenas. We started the year financially in the black according to the treasurer, and have maintained that position at year s end, despite a couple of competitions where costs have just exceeded income. Costs of competitions have increased with the direction from Dressage NSW to standardise reimbursement for judge s expenses. We have also moved to accommodate judges travelling long distances at the Newcastle Airport Mercure, which has made 8:00am starts to competitions more possible and long drives more attractive to our A-Level judges, especially, but has increased costs. We have moved to increase the cost of competition entries into 2017 in order to cover theses increased costs; this brings entry fees into line with other local dressage clubs, so we still remain attractive to competitors. Thanks to Secretary Ruth Byrne, we have achieved our goal of improving the efficiency of the scoring office. Excluding interruptions to the scorers in the office on the days of competition has required the posting of front-of-office personnel to manage questions from competitors and judges, and some discipline to keep interference away from the computers. This allowed a good workflow to develop, with results being posted within half-an-hour of the completion of competitions. Many thanks to Ruth, Chris Sullivan, Suzy Laidler and Kerry Sullivan for their great efforts in bringing this about. Thanks must go to Joyce and Suzy Laidler for continuing to manage competition entries through Nominate, and to compile draws which accommodate riders with multiple entries and have encouraged entries from beginning riders up to senior FEI levels. This year has since an increase in number of divisions to include Juniors, Young Riders, Open Amateur Riders and Ponies at higher levels. This has added complexities to the scoring process, and has also brought an awareness of the implications of this in the management of club point scores and annual awards. Kerry Sullivan has managed the point score this year and has been persistent in working to clarify information to competitors relating to club awards. This is one area where we hope to advertise requirements of entries to encourage members to strive to achieve HVDA yearly recognition of their achievements. The contribution of Di Stanley in chasing up competitors to serve as pencillers at competitions, and Kylie Murray-Miller for gear stewards, and Belinda Wall for maintaining membership records are essential in the running of the club. We are also fortunate to have enlisted Tammy Hodges to update the website and Kerry Sullivan to manage a dedicated Facebook page for us. In this, our fourth year at Alexander Park, we have seen an increasing number of competitors attracted to our competitions. We look forward to continuing to attract competitors to our six competitions per year. These competitions are run by a small committee of volunteers, largely at the expense of those committee members not being able to compete themselves. More members willing and able to help on the day, would allow more flexibility in the office and around the grounds. Best wishes to all club members for a successful 2017 Margaret Warwick

14 Member Waiver Form Hunter Valley Dressage Association ABN Hunter Valley Dressage Association conducts it s Events at the Salt Ash Sports Complex Richardson Rd Salt Ash. In consideration for being permitted to participate in any way in horse sport activities, I, the undersigned, understand, acknowledge and accept that: Horse sports are a dangerous recreational activity and horses can act in a sudden and unpredictable (changeable) way, especially if frightened or hurt. There is a significant risk that serious INJURY or DEATH may result from horse sport activities. I knowingly and freely assume all such risks, both known and unknown, and I voluntarily PARTICIPATE at my OWN RISK and assume sole responsibility for any injury, death or property damage I may suffer that arises from my participation in horse sport activities. I understand and acknowledge the dangers associated with the consumption of alcohol or any mind altering drugs before and during the activities and I take full responsibility for any injury, loss or damage associated with their consumption. I agree not to drink alcohol or take drugs prohibited by law before or during any horse sports activities. I agree to follow the directions of any event organiser or official and that any misconduct or refusal by me to follow any direction of any organiser or official can result in the CANCELLATION of my participation in the activities and my immediate removal from my horse NO MATTER where that may occur. I understand that any such non-compliance may result in injury, death and/or permanent disability as a result of my failure to comply. If the event is cancelled for any reason, 50% of the admin fee will be retained if any costs are incurred by Hunter Valley Dressage. For late scratchings a doctors or vet certificate no later than 24hrs after the event is required to receive a refund. After entries have closed horses nominated may not be changed for any reason. Riders may be changed up until the time the horse competes in its first competition. ENTRY ACCEPTANCE: You MUST be a member of either the EA or HVDA to be eligible to compete at an event. All details on the paper/online entry form MUST be complete and full payment of entries is required. Entries are dated as they are received and when the test is oversubscribed a reserve list is formed.. Both rider and owner must be EA members to compete in Official classes. In official tests, horses must exceed 149cm with shoes and ponies must not exceed 149cm with shoes (148 without shoes). CATEGORIES: The following categories are available to all eligible competitors. You must nominate if you intend to compete as a pony or junior competitor for each test entered. Official Competitive: Entrants require EA competitor membership and full horse registration. Must meet State competition licence requirements. Official Competitive entrants must have a bridle number on both sides of the bridle or saddle cloth. Closed Restricted: Entry is only open to members of Hunter Valley Dressage. EA membership and horse registration are not mandatory. Competitive Amateur Horse and Rider: Hunter Valley Dressage have deferred running these classes until further notice. Closed Restricted Ponies: Entry is only open to members of Hunter Valley Dressage. EA membership and horse registration are not mandatory. Official Competitive Ponies: Entrants require EA competitor membership and full horse registration. Must meet State competition licence requirements. Official Competitive entrants must have a bridle number on both sides of the bridle or saddle cloth. Closed Restricted Juniors: Entry is only open to members of Hunter Valley Dressage. EA membership and horse registration are not mandatory. All entrants must nominate junior on the entry form and provide date of birth Official Competitive Junior: Entrants require EA junior members and full horse registration. Must meet State competition licence requirements. All entrants must nominate junior on the entry form and provide date of birth.. Official Competitive entrants must have a bridle number on both sides of the bridle or saddle cloth. DRESSAGE GRADING POINTS: Refer to EA Rules COPIES OF TESTS: are available from EA website LIABILITY WAIVER: Either a signed paper waiver form or online waiver acceptance must be completed. For paper entries, if you are entering a number of people on the one entry, each rider MUST sign an individual waiver form. For online waiver acceptance, if you are entering a number of people, your acceptance confirms that each rider has read and accepted the conditions. PREPARATORY ENTRY: Riders who have ridden Elementary or above, must enter a Preparatory test as N.C. Horses that have won a Preparatory Test or placed in a higher level test must ride N.C. JUNIOR ENTRY: Children under the age of 9 years are not allowed to compete at HVDA events. Entrants in Junior Competitions must be under the age of 16 years on the day of competition however may continue to compete for the remainder of the calendar year in which they turn 16. Riders may enter official competitions for the year they turn 12 years of age when riding horses and from the start of the calendar year they turn 10 years of age when riding ponies. Junior competitors can enter any closed restricted or official competitive tests provided they meet the criteria requirements. All juniors will be placed separately in their tests. PONY DRESSAGE: All EA registered ponies can enter any closed restricted or official competitive tests. All non EA registered ponies can enter any closed restricted test. All ponies will be placed separately from horses in their tests. RESTRICTIONS: Horses/Ponies/Juniors may compete at 2 consecutive levels only over the event (maximum 3 competitions per horse per day) Riders may ride a maximum 3 horses per day, 6 tests per day and maximum 2 horses per competition. No horse should be on the grounds if it s not competing. Coaches are not to give instruction to riders in the area surrounding the arena. NON-COMPETITIVE ENTRIES: will be accepted on the understanding that they may be given first or last time slot in the competitions. They must be indicated in writing before the start of the relevant competition. PENCILLING / GEAR STEWARD OBLIGATIONS: You MUST report to the office 10mins before your required time.
