1 2016 Australian All Schools Championships AIS Athletics Stadium 2 nd - 4 th December 2016 TEAM BULLETIN 29 November 2016 Dear Team Members, With the first event of the 2016 Australian All Schools Championships a few days away, the following information provides updates on several key aspects of team operations and introduces additional information to assist with your planning. Please ensure you read through this information thoroughly and ensure that your parent(s)/guardian and coach(es) have also been provided with a copy. Key Notes AIS TOURS: For athletes that have booked and paid for an AIS tour, please meet 10 mins prior to the tour time at the front of the AIS shop. This is located within the AIS Visitor Centre. U14 Dinner: All U14 athletes are invited to come to dinner together at 7pm on Friday 2nd Dec. This will be a great opportunity for new athletes to the team to meet and get to know other athletes. **Those athletes with events still going will have the opportunity to have a later meal. Movie Night: All athletes are invited to join us at movie night on Saturday evening. 7pm 8.45pm in the Lecture Theatre (Located within the conference centre - #14 on the map) Sign In: All athletes must to sign in at the track by 11am on Saturday & Sunday. Athletes are also requested to sign in outside the dining hall prior to having dinner each evening. 1

3 We ask athletes to meet their team managers at the check-in 60 minutes before their flight time. All Team Managers will be wearing their Queensland Athletics blue polo shirt. If you cannot locate a team manager, call the staff mobile on or Emergency Contact Numbers The primary point of contact for Team Staff and in the event of an emergency will be the Queensland Athletics Staff Mobile or Please do not contact this phone for results during the Championships these will be available on the Athletics Australia and Queensland Athletics websites. This phone will only be available during the championships. Enquiries leading up to then should be directed to Queensland Athletics on Weather The predicted temperature range is 13 to 31 degrees, with the humidity predicted to be as high as 50%. Queensland will have a designated area where athletes will be able to sit and eat their meals and generally be sheltered from the weather if necessary. However, athletes should ensure they take adequate clothing to the track each day to provide protection. We strongly encourage athletes to regularly apply sunscreen and ensure adequate intake of fluids, both of which will be available at the Queensland area. 4 TEAM OPERATIONS IN CANBERRA Arrival in Canberra For athletes arriving in Canberra in time to link in with the arranged coach transports on Friday 2 nd December please ensure that you disembark from your flight and proceed directly to the baggage collection area for your flight. If you re on a flight with a Team Manager please make your way directly to baggage collection where the Team Manager will then escort these athletes to the Meeting Point to prepare for departure on the team coach. Athletes who do not have a Team Manager on their flight are urged to make the area between Qantas and Virgin baggage claim. Team Buses will depart from the Airport at 9am, 12:00pm and 1:30pm. The Team Van will depart from the Airport at 7:30am, 10:20am, 2:45pm and 7:00pm. Athletes are to meet between Qantas and Virgin baggage claim, inside of the airport. In the event of a delay to your flight, Team Managers will make alternative arrangements to ensure that you are met by a future bus. Athletes who are on the team bus that departs at 9:00am, 12:00pm and 1:30pm will be taken to the team accommodation where they will have the opportunity to leave their bag(s) in a secure room. Athletes who do not arrive in time on Friday 4 th December to be linked in with the team coaches will be transported by minivan. Athletes who have travelled to Canberra earlier than Friday 2 nd December 2016 are requested to meet up with the Queensland Heat team at AIS Athletics Stadium between 2:00pm and 2:30pm. All team members who have not indicated their flight number and flight arrival time into Canberra on Friday 2 nd December 2016 or advised if they arrive earlier than Friday are requested to contact Queensland Athletics as soon as possible to provide meeting arrangements information. Ground Transport Schedule A schedule is available on the Queensland Athletics website. Athletes must travel on allocated buses as seats are limited. Post Competition Arrangements All athletes will be required to take their bags with them to the track when they depart the team accommodation on Sunday 4 th December Several athletes, after the competition on Sunday, will be linking with their school team for the National Schools Knockout Final also at AIS Athletics Stadium. These athletes will need to make arrangements with their school for transport from the Athletics Stadium. Queensland Athletics requires confirmation from athlete s parents in regards to who will be picking up the athlete from AIS Athletics Stadium and that they give permission for this to occur. 4

5 Athletes who will be leaving the competition on Sunday 4th December with family to fly home together or stay on in Canberra for an additional period of time are required to advise Queensland Athletics of this and ensure they sign out with a Team Manager prior to leaving AIS Athletics Stadium. If you have not already indicated how you will be departing the Australian All Schools Championships please advise Queensland Athletics in writing as soon as possible. All other athletes will be transported to the Canberra airport in time for their flight on Sunday 4 th December Track Sign-In & Sign-Out As you arrive at and depart from AIS Athletics Stadium each day, you are required to sign-in and signout with the Team Staff in the Team Area. There will be an Athlete Register at the track and it is your responsibility to ensure you have signed in or out with the Team Staff as you arrive and depart. Athletes must sign in at the track by 11am each day. For those athletes that wish to spend some time with their family during the tour, a member of your family must be present as you sign out and after they have dropped you back at an agreed time, you must sign back in with Team Staff. This policy is critical to the safety of the team s athletes, and requires cooperation from athletes and family members. Accommodation The team will be staying at Australian Institute of Sport. The AIS is situated on Leverrier Street. The accommodation blocks are a short walk from the Athletics Stadium. Athletes will be placed in individual and bunk rooms. Meals AIS will be providing breakfast, lunch and dinner. Lunch will be provided for all athletes at AIS Athletics Stadium. If you have any special dietary requirements or food allergies and have not already indicated so on the AIS Special Dietary Form please contact QA ASAP; info@qldathletics.org.au or Athletes will not be assigned a meal session. You are to select a time that works around your schedule however please note that 75 team members are to eat in each session. Breakfasts - 6:30am - 7:00am - 7:00am - 7:30am - 8:00am - 8:30am * breakfast will be one hour later on Sunday. Athletes competing earlier are to see Accommodation Managers in Reception. Lunch at the track each day from 12pm. Athletes must sign in at the track by 11am each morning. Dinner 6:00pm 6:30pm - 7:00pm - 7:30pm - 8:00pm - 8:30pm *Athletes competing late on Friday night are to see Accommodation Managers in Reception. 5

6 Family Members Family members who are planning to attend the competition are very welcome to spectate from the same area as the team, but should be advised that most of the available space in the Team Area will be occupied by athlete s bags, medical staff and additional equipment. While we are very happy to have family members in the team environment, it is very important that all team supporters are a positive influence on the team, and set and support a positive example for all Team Members. Gate Entry Athletes and Team Managers will be provided with complementary entry passes, which will be distributed to Team Managers at the Technical Meeting on Friday 2 nd December. Athletes and Team Management are required to enter via the Athlete Entry located in the top left corner of the car park. It is a short 900m walk to the track from our accommodation, shown below. 6

7 TEAM OPERATIONS AT AIS ATHLETICS STADIUM Warm-up Area There is no Warm-Up Area for theses Championships and therefore limited warm up opportunities will be available on the back straight and 200m bend under the following arrangements: Friday and Saturday AM 200m bend plus the 30 metres leading into the 200m bend (see below) Saturday PM and Sunday warm-up available on back straight No external warm up facilities will be available for field event athletes. Time will be provided, under supervision of Officials, at the event site prior to competition. Athletes must be accompanied by a coach or Team Manager while at the Warm-up Area. TECHNICAL & EVENT INFORMATION Event Timetable 7

8 The final version of the Competition Timetable is available on the Athletics Australia website. All athletes should ensure they check this regularly to be aware of any changes to the schedule of events. All athletes should be aware of the Technical Regulations for the competition which are available from Scratchings This is always a challenging issue for Team Managers to address. Please be aware of the rules in relation to scratching from an event, so that you do not jeopardise your involvement in the Championships. All scratchings must be submitted no later than one hour (90 minutes for pole vault) before the scheduled starting time of each event. The competition regulations state: If an athlete fails to scratch from an event or does not compete in all rounds of an event for which he/she has qualified, he/she will not be permitted to compete in any other event in the Championships, including relays. If you have any questions about this issue, please ask a Team Manager for assistance. If you need to scratch from an event, please be aware of the potential consequences to your participation in the rest of the Championships, and make sure you scratch as early as possible. Competition Numbers Competition numbers will be handed out to all athletes at the track. Athletes will be provided with two competition numbers, and 8 safety pins. Please note that the number attached to your front must be attached to the chest area and a number must also be placed on the back of your competition uniform using 4 pins (one pin in each corner of each number). If your competition numbers are not pinned onto the chest area, you will be required to readjust them when you enter the Call Room. Also ensure that the entire number is visible no portion of the competition number may be folded over/under or removed. If you tamper with or damage your number in any way, you may be disqualified from the entire Championships in the Call Room or at the event site by the officials in these areas. If you lose your competition numbers, please see a Team Manager as soon as possible to arrange a replacement, and be aware that there is often a fee for replacement numbers imposed by the event organisers. Call Room Information Each athlete should ensure they know when they should be at the Call Room and aim to be there at least 5 minutes early. The Call Room Managers will be stationed at the entry to the Call Room and will help check you in as you arrive. The Call Room closure times are as follows: Pole Vault High Jump, Hammer, Discus, Javelin Shot Put, Long & Triple Jump Hurdles & Relays Track Events 70 minutes 45 minutes 35 minutes 20 minutes 15 minutes 8

9 Please work out the correct times for your entry into the Call Room and remember that it is your responsibility to be on time! Please ensure you do not bring any banned items with you to the Call Room these will be confiscated and you will need to return after your event to collect these items. If you are required to be at the Call Room for a second event prior to the completion of your first event, you must take a Clash Form to the Call Room when you first arrive. Please ensure you speak with a Team Manager about having a Clash Form prepared and take this with you to the Call Room before your first event. Relays For this tour, there will be a Relay Coordinator for each of the Male and Female relay groups (listed on page 2). Each Coordinator will be the first point of contact for all relay matters and will assist each team s preparation for relay races. In the first instance, provisional relay squads were announced and posted on the Queensland Athletics website. The Relay Coordinators will work with other senior managers to determine the final relay teams based on results from the Queensland Secondary Schools Championships onwards. Where possible, performances from rounds within the 2016 Australian All Schools Championships will be used to inform final relay selections. Please be aware that legal performances will be given preference over those with illegal wind readings where athletes are in very close competition for places in relay teams. From each provisional relay squad, a final team of 4 athletes with up to two reserves will be announced and advertised in the Team Area at the Athletics Centre on the day of the relay. The Coordinators will set a time for all relay teams (including reserves) to meet for training and instructions prior to the relay itself.
