Registration This Season went really well overall! Lindsey Reil was the NGIN coordinator. We worked together to complete the Registration newsletter as well as the NGIN registration. Brad Solomon was registration assistant and collected all documents for the house side. Roster sign off went pretty well on our end. On December 31 st we didn t have any coaches redlined! The biggest obstacle is collecting documents from coaches. Consent to treat forms, coaching certification, etc. This has always been an issue and is in other associations as well. Recommend the Registration Director or ACE Coordinator should be present at the coaches meeting to give an overview of what is and expected from coaches in regards to the process we need to go through with USAH in order to get players and coaches rostered. Open position 2016/2017
House Manager Coordinator Becky Maifeld Updated the House Manager Manuals, printed and assembled. Held House Manager Meeting November 22nd, 2015 at 6:30 pm at Forum Assisted Managers with: Questions, pictures, jamboree, volunteer, tournaments, outdoor ice, time clock, game schedules, concessions, apparel, Coaches reimbursement, etc. Liaison for Mite Directors, SKATE, Jamboree, Volunteer Director, Concessions, BAR
House Manager Coordinator Recommendations: Suggestion to select manager who has experience with the association when possible (if they have volunteered). Manager Coordinator NEEDS to be included in the manager selections process. I understand that the Mite Directors / Coaches ultimately pick the managers, however the coordinator needs to be aware of who the managers are right away and who has volunteered. Mite Directors should look at the list of those that volunteered for the position of manager PLUS any that may be suggested by coaches, etc. Sometimes the list is ignored. This year it got crazy with the mgr coordinator being in the middle of a number of communications between other committees and managers. In future, some of this will be passed on to the managers directly so the mgr coordinator does not delay things.
Traveling Manager Coordinator Megan Leitner More managers are utilizing the manager coordinator as a resource to getting questions answered or clarification. The manager meeting was held in the fall at the Brooklyn Park Police substation, giving access to computer and projector which helped those in attendance understand how to navigate the website and visually see the information that should be utilized on behalf of each committee. Information from DIBS was distributed to managers through the manager coordinator and Greg Blodgett Open Position 2016/2017
ACE- Kevin Pietsch Assisted registration director in getting all coaches (house and traveling) up to date with their CEAP levels and completion of their age specific modules Next season would be willing to help track: Background checks Coaching applications Safe sport training Would like to attend pre-season coaches meetings

Concessions Director Katie Verlo More information and signs were added in the concession stand when the season started. They seem to help but there is a need to change a few of them before this next season. All the house and traveling teams were assigned to JV/Varsity Girls and Boys games. This was new this year. The one struggle with assigning teams early on is not having the game schedules for all the teams. This will be an on-going issue unless teams are given dates in different stages.
Concessions A few teams did reach out to Katie throughout the season with complaints that parents on the team were not stepping up to work these shifts. A plan will be created for the up coming season. Katie will talk to the managers ahead of time and explain how they can set expectations with their team for covering these shift. Phone numbers of parents of kids that want to work concessions were posted on the web site. This will continue next season.
Concessions Upcoming plans for next season More information will be added about the concession stand on the website. This will include what you need to know about the first and last shift of the day and what needs to be completed. Katie will be looking for another volunteer to help load dates on DIBS.

Need to stay in good standing with hotels, especially in small towns. Traveling teams have allotted 3 tournaments each (Bantam AA will be allotted 4) beyond that they need to seek approval from President and Ice Scheduler (as well as team vote for additional spend). 56 Volunteer Director Greg Blodgett Structure Third year of using DIBS online tool. Second year of a committee approach Duties were again divided for efficiency DIBS postings for concessions DIBS postings / credits for events House Credit Submission entry Traveling Credit Submissions entry Issue resolution / Reports Volunteering credits coordinated/ posted for All teams, committees, and Concessions Events Tryouts, Speed, BAR, Wreath Fundraiser, Rebel Classic Tournament, Mite Jamboree, SKATE event
Volunteering Metrics Dibs Items Posted: 1,272 Tryouts/SPEED: 185 Concessions: 952 Fundraising: 52 Team/Extra Credits: ~ concessions postings went UNCLAIMED
Volunteering Changed concession scheduling of HS events assigned to teams This improved the coverage of volunteers at events dramatically The key is very advanced team assigned dates and notification to teams well in advance. Could reduce one shift per HS event with two shifts for JV game, two shifts for Varsity and one split shift to help up from the end of the second period of the JV game to the start of the 3rd period of Varsity game
Volunteering Volunteering Requirement Completion Rate 330 families Complete 319 families 97. 5% Incomplete 11 families 3. 5% End of Season Volunteering Validation originally sent to 88 families (2/15/16) to begin reconciliation process. All but 11 were able to be reconciled.
Volunteering Cancellation and No Show Issue/New Policy By Mid-December there had been 7 no shows and more than 15 cancelled past the timeline. Changed the policy around the first of the 2016 year and essentially eliminated the issue. Volunteer no show/cancellation policy If you are signed up to work any volunteer shift (not just concessions) and do not show up or find someone to fill your shift, there will be a penalty. The same holds true for cancellations less than 7 days. The penalty is as follows: First Offense: $50 fine Second Offense: $100 fine Third Offense: Forfeit Deposit ** (Two no shows from the same family signed up for the same shift = two offenses) Once your fine is paid, you will be credited the hours that you missed.
Volunteering 2016 Recommendations Go back to the first year mite parent sessions (hockey 101) to have better attendance and understanding of volunteering commitment (do not have it while the player is on the ice because they want to watch their child) Continue team scheduling for High School events Continue No Show/Late Cancellation Policy
