Prepaid Group payments must be received and posted to account prior to any participant season passes being issued. A parent/guardian/group leader must accompany anyone under the age of 18 when picking up a Season Pass. Season Passes cannot be issued to a minor without the signature of a parent or legal guardian on the Season Pass Contract. Participants will be able to download the Contract from the Club Management website during the registration process. Season Pass Holders must have this signed Contract with them prior to having their season pass picture taken and the issuance of the pass. 5
7 GROUP LEADER RESPONSIBILITIES The Group Leader and Advisors are responsible for: Adhering to all program deadlines and guidelines Communications with parents/guardians informing all participants of the program deadlines & guidelines while also enforcing them Providing Camelback Group Sales with complete and accurate participant information Checking in with Ski Patrol on a regular basis while here with group Monitoring behavior of students/participants while on the mountain and in the lodges An associated group, defined as a group who is affiliated with an organized program such as a youth organization, school, college, registered church, scout group, business or park & recreation, has designated chaperones on the mountain and in the lodges, who are responsible for: Assisting students/participants through the rental shop before and after skiing OF TOP IMPORTANCE: Delivery and release of Ski School participants, in the SnowSports Learning Zone, is the sole responsibility of the Group Leader/Chaperones whether the group travels by bus, vans or cars. Groups must designate staff for this responsibility for each of their visits Checking in with Ski Patrol on a regular basis while group is here Monitoring behavior of students/participants while on the mountain and in the lodges GROUP LEADER INCENTIVES Group Leader Incentives are based on the number of online registrations paid directly to Camelback by Friday, November 8, Any payments, received by Camelback, after Friday, November 8, 2013 will NOT count toward Group Leader Incentives. Groups can accept additional participants after November 8 but the opportunity for you to receive the maximum incentives offered in this program is solely based on registrations as of Friday, November 8. Manual registrations will be accepted on the one-time add-on date of Friday, November 22, 2013 but the incentive program is closed as of Friday, November 8,
8 GROUP LEADER INCENTIVES CONTINUED Incentive fulfillment, and issuance of Complimentary Pass Products, will not be based on the opening day of the 2013/2014 Ski Season. Once your program is closed and paid-in-full, group leader incentives will be determined. Camelback requires 7-10 business days for processing incentives. 9 GROUP LEADER INCENTIVES CONTINUED Summer 2014 Camelbeach Guest ID Card All Prepaid Group Leaders will receive one Summer 2014 Camelbeach Guest ID Card valid for 10 waterpark visits, to share with family and friends. 6th Visit A 6 th complimentary visit will be awarded to any Prepaid Group that has a 15% paid-participant increase over their 2012/2013 final, paid enrollment. This will be determined, by Camelback staff, after January 26, 2014 when all/ any changes to enrollment have been made. The 6 th visit is a collective group visit inclusive of lifts and rentals only and will be processed at Group Sales on the date of your 6 th visit. A sixth lesson is not included in this incentive and there is no make-up for group participants who are not present. Complimentary Lift Tickets & Rentals To be used as a benefit to your group. For every 15 paid lift ticket/season pass products in your group, you will receive three complimentary lift vouchers valid for the same time frame that your group visits. (i.e. midweek/nonholiday after 3:00 p.m.). In addition, for every 15 paid rentals (combination of skis/snowboards), you will receive three complimentary rentals, also valid for the time frame your group visits. 8
10 CHAPERONES (THOSE WHO DO NOT RECEIVE A SEASON PASS) This benefit is available to Associated Groups only. These groups are affiliated with an organized program such as a youth organization, school, college, registered church, scout group, business or park & recreation organization. Associated Groups require chaperones to supervise and assist the students while skiing/riding at Camelback. The number of chaperone lift tickets and rentals offered will be established by Camelback, based on the number of students in the group. We have established a policy of one chaperone for every 15 skiers/riders. If a School Board requires a specific ratio of chaperones-to-student ratio when the group is on the mountain, Camelback will honor that requirement, with documentation from the School Board to Linda Galante, by Friday, December 13, The Group Leader will receive a chaperone card pre-loaded with lift tickets. The quantity of lift tickets pre-loaded, on the card, is based on approved number of chaperones at five visits per chaperone. They are to be used only by your chaperones while they are in a supervisory capacity with your group. Rental equipment and/or lessons, for use by chaperones only, on your group s scheduled visits, will be issued each week by the Group Sales Staff at Group Sign-In. The Group Leader may present the chaperone card at Group Sales, in Guest Services, when they are signing in each week. Group Sales will fulfill chaperone lift ticket needs. On the first group visit, prior to distribution of complimentary chaperone lift tickets, each chaperone must sign an Activity Release form available in Guest Services. If a group redeems all of the pre-loaded lift tickets, prior to the completion of their five-week program, the group can purchase lift tickets at the 2013/2014 Retail Group Price. Chaperone privileges are not offered to guests of the group leader on the night of their visit or on any other day during the 2013/2014 Season. 9
11 CANCELLATIONS - Must be made by noon on the date of visit If you must cancel your group s scheduled visit, for any reason, Camelback must be notified no later than noon on the day of your visit. Groups that fail to contact us before the cut-off time of noon will have that day counted as a visit. The 12:00 Noon cut-off for cancellations allows us time to notify department heads for the purpose of staffing. If Camelback must cancel groups due to weather conditions on the mountain, or any other reason, we will contact group leaders by noon so they can notify bus companies and participants in their programs. The only exception to this is an unexpected emergency that interferes with mountain operations after 12:00 Noon. Group leaders, in car groups, must have a plan for communicating cancellations to their group participants. Cancellation by a group, for any reason other than a school closure, must also be made by 12:00 Noon on the day of your visit. However, a make-up date may not always be possible. All programs must be completed by March 14, 2014, weather permitting. REFUND POLICY We only issue pro-rated refunds for group members that have been injured during the course of the program. The enclosed form must be completed by the Group Leader and returned with a doctor s note and the Prepaid ID Card/Season Pass. Refunds will be issued in the manner in which they were paid and sent directly to the source of the payment. Please allow 4 to 6 weeks for processing, once the form, doctor s note and Prepaid ID Card/Season Pass have been submitted. There are no refunds for prepaid rentals if personal equipment is purchased after payment has been made by the group. The Group Leader is responsible for including this information in any enrollment paperwork that goes home to parents. 10
12 RENTALS Equipment rental tickets are issued, to participants who registered and paid for rentals. Equipment rental tickets are issued at the Ticket Windows when their Prepaid ID Card is swiped. Ski rental packages include: skis, boots and poles. Snowboard rental packages include; board and boots. Wrist guard and helmet rentals can be purchased at the time of online registration. Group participants enter the Rental Shop through the Preferred Renters single door located under the breezeway. If equipment is lost or stolen, the person whose name is on the Rental Ticket will be charged. Their Prepaid ID Card will be suspended until the charge has been paid. Please remind all group members to utilize the equipment check station located on the deck outside of the Big Pocono Family Eatery (main cafeteria). The use of equipment check is FREE for season pass holders and Prepaid Group rental equipment. Personal equipment is not permitted in the Rental Shop. Personal equipment can be checked at the equipment check station located on the deck outside of the Big Pocono Family Eatery (main cafeteria). Charge is $2.00 per night - unlimited checking. The group leader or a chaperone, from the group, must accompany the group into the Rental Shop upon arrival and during returns in order to assist their participants with any challenges and to keep control of their group. Group participants may switch from skis/snowboard or vice versa however, this must be done prior to their third trip and can only be done at Group Sales not via a phone call from a parent. Group Leader must accompany the participant to authorize. Group participants with personal equipment should be encouraged to use the Annex Changing Rooms adjacent to the bus drop-off area. Group participants are asked not to leave personal items such as shoes, bookbags or clothes in the Rental shop. Lockers will be available under the breezeway and free cubbies are located in the Big Pocono Family Eatery. 11
13 SNOWSPORTS LESSON TIMES Your group s lesson time will be scheduled, in advance, by Camelback SnowSports School Staff based on your arrival time, departure time and daily demand of both individual guests and other groups. For groups arriving by bus, we must build in an allowance for delayed arrival of buses whether due to late departure from schools, road congestion, road construction or weather. Camelback Ski School Staff will schedule lessons for Prepaid After School groups between 4 PM 6:30 PM. 12
14 FIRST AID & SKI PATROL Every member of the Camelback Ski Patrol is an Outdoor Emergency Care Technician and member of the National Ski Patrol. Many of our members have additional training in advanced care and have been with our organization for several years. The Ski Patrol Office is located directly behind Guest Services. Camelback requires group leaders to provide Group Sales with emergency numbers and cell phone numbers for all chaperones / advisors who are on the mountain or in the lodges on the first night of ski club. Ski Patrol will keep a current file of these numbers. If contact numbers change during the season please make sure to notify Group Sales. Groups should consider having an extra vehicle along on the trip in case a participant in the group is injured and requires off-site medical treatment. Your Skier / Rider Responsibility Code is a set of safety guidelines for skiers/boarders, endorsed by the National Ski Areas Association, which all skiers and riders are expected to adhere to while at Camelback. Discuss with your group participants the importance of knowing and understanding Your Responsibility Code. A copy of the Responsibility Code is included in this packet for distribution to all participants in your group. 13
15 SKIER EDUCATION PROGRAM Skier Education Programs, for the upcoming 2013/2014 Season can be scheduled through our Ranger Patrol Director. Scheduled Programs are available beginning November 4, The purpose of this program is to promote snow sport safety, whether at Camelback Mountain Resort or any other ski area. The program will educate the participants of your group on how to prepare for the winter season as well as your five-week program at Camelback. We recommend that you schedule this program when parents are able to attend with their children. GENERAL OUTLINE OF THE PRESENTATION The Skier s Responsibility Code, Slope Safety and Slope Etiquette Freestyle Terrain Safety Proper attire for weather and temperatures that can be expected at the ski area Physical conditioning for outdoor winter activities Services and facilities for groups Value of lessons Camelback s Ranger Patrol - policy for reckless skiers/riders National Ski Patrol affiliation and services Procedure for lost or injured guests Parental support of Camelback s Slope Safety policies in addition to the guidelines of your groups guidelines and rules Our goal is that all guests of Camelback Mountain Resort have an enjoyable experience and enjoy the sport of skiing and snowboarding for many years to come. The Camelback Representative will have Liability Release Forms, also required for the Park Pass, that parents/ guardians and participant will be able to sign on the evening/day of your presentation. Please make arrangements to have AV equipment, DVD player & projector, screen and microphone available, for viewing of the video that is on disc. 18 REQUIRED INFORMATION FOR PREPAID PROGRAM REGISTRATION We recommend that Prepaid Group Leaders have participants complete a paper registration form that will include all their order information, even if the participant or a parent/guardian registered online. This form can serve as a back-up for group leaders to check/cross-check a participant s order, especially when parents were doing the online registration and ordering either the wrong rental equipment/lessons or not ordering everything their child needed because they were new to the sport or did not quite understand the program. Attached is a registration form that you can copy and include in what you distribute to your group participants. Group Leaders should have each participant complete a copy of the attached form as it includes all of the fields required on Club Management. If your group includes multiple family members, they will need to complete one registration sheet per family member. i.e. if a family of four is joining your program, you will need four individual registration forms so that you know what each individual has ordered. If a parent is registering two children in a school program, that parent must provide you with a registration form per child. Having a paper registration form, for each participant in your group, will allow the Group Leader to confirm that the participant ordered correctly online. If there is any discrepancy with the paper form and what you see online, when you are doing your close-out, it can be corrected before we print the Prepaid ID Cards. This will make your first visit that much less stressful. If you would like an e-copy of this Required Participant Information Form, to keep as a master copy for the packets you send out, just let me know and we will send it to you. 20 PARENTAL AGREEMENT Due to the number of participants in our Prepaid Program, Camelback has set guidelines in order to eliminate any confusion for all concerned. Both the participant and the participant/guardian must sign and return this form to your leader. REFUNDS Refunds will be issued only with a doctor s excuse. The written doctor s excuse must be given to the group leader along with the participants Prepaid ID Card or Season Pass. The Group Leader will complete the Refund Form included with this packet. This form, along with the doctors note and Season Pass/Prepaid ID Card must be returned to Camelback before any refund will be issued. Camelback will work directly with the Group Leader to initiate the refund process. Refunds will be issued in the manner in which payment was received. Refunds are not immediate. Please allow 4-6 weeks for processing. Refunds will not be given for: If a student is uncertain about sports team eligibility at the time of program registration and decides not to participate or is unable to ski after payment is made. For ski/snowboard rentals when equipment is purchased or is given as gifts after the registering and paying for this program. If a participant never uses the rental equipment. If a participant/parent changes their mind and decides not to participate after payment is made. I understand and agree to the refund criteria above. LOST OR FORGOTTEN PREPAID ID CARDS If a participant forgets their Prepaid ID Card, the participant must be accompanied to Guest Services by their Group Leader. A one-time manual transaction will be processed and the lift ticket will be debited against their Prepaid ID Card. It will be noted on their account. If forgotten more then once, the participant must pay for a lift ticket. If a participant loses their Prepaid ID Card, there is a one-time fee of $25 to replace. It will be noted on their account. I understand and agree to the Forgotten and Lost Prepaid ID Card guidelines above SEASON PASSES Prepaid Season Pass pick-up begins Sunday, December 1, 2013, provided full payment for the group has been received. A Season Pass contract must be signed by a parent or legal guardian for all participants under the age of 18. If a participant loses their Season Pass, there is a replacement charge of $75. It will be noted on their account. I understand and agree to the Season Pass guidelines above including the Black-out Period for picking up Season Passes. RENTALS Once rental equipment is purchased, through the program, refunds will not be given if participant purchases or receives a snowboard of their own. We recommend that your child be sure about their rental equipment decision, skis or snowboard. Please make sure you order correctly when registering online. Once the rental equipment has been purchased, no refunds will be given if your child is trying snowboarding for the first time and decides he/she doesn t like it. They may switch one-time to ski / snowboard rentals prior to the third week, ONLY, of their program. We recommend renters complete two group visits on their selected equipment however they have up to the third visit to make one change. Refunds or credit will not be given.
21 If your child has their own snowboard, it must have metal edges and strap-in or step-in bindings. Snowboard boots are required. Visit your local ski or snowboard shop for advice on proper equipment. If equipment is lost or stolen, the person whose name is on the form will be charged. Their Prepaid ID Card will be shut off until the charge has been paid. Camelback rental equipment, purchased in this program, can be checked FREE of charge, at the Check Station located on the deck outside the Pocono Family Eatery. Personal equipment can be checked for $2.00, unlimited checks/per night. I understand and agree to the Rental guidelines above. SKI / SNOWBOARD SCHOOL Ski/Snowboard School participants must be age 6 or older at the start of the Prepaid Program- Monday, January 6, Ski School reserves the right to request proof of age and remove, from the lesson program, a child under the age of 6. As with equipment rental, once your child has registered for ski or snowboard lessons, transferring from one to the other must be done prior to the third week of the program. We recommend lesson participants complete two group visits in their selected area; ski or snowboard, however they have up to the third visit to make one change. Refunds or credit will not be given. Your child is entitled to five lessons. If they miss a group visit, they will still have the lift ticket, lesson & rental (if applicable) on their Prepaid ID Card. A paper lesson ticket is issued each week when the Prepaid ID Card is swiped. This lesson ticket is valid only on the date it is printed and will be collected by the instructor. When parents are providing transportation, it is the parent s responsibility to have their child to Ski/ Snowboard School on time. Instructors will not hold classes for late arrivals. If a skier/snowboarder misses their lesson, they will have the lesson on their Prepaid ID Card and can make it up at the end of their scheduled 5-week program at the 6:00 p.m. General Public Lesson time. All programs must be completed by March 14, Delivery and release of Ski School participants, in the SnowSports Learning Zone, is the sole responsibility of the Group Leader/Chaperones/Parents whether the group travels by bus, vans or cars. All lessons for children ages 6-8 will be taught on the Teaching Hill, the Coolmoor Trail and the Sunbowl Trail. Children, this age, will not be taken to any other part of the mountain during a lesson. Lessons will be taught on terrain appropriate to the level of the students in the class. Students may be riding the Coolmoor or Sunbowl chairlifts with an instructor, other students or other mountain guests. If you/your child missed the group lesson on a scheduled group visit, you can make it up at the General Public Lesson time of 6:00 p.m., on a day that fits your ticket program. I understand and agree to the Ski /Snowboard School guidelines above. ABSENTEES When a participant misses a scheduled group trip(s), unused lift tickets remain on their Prepaid ID Card. The participant will be able to use that visit after the group completes their five week program. The lift ticket will be valid for the same time-frame that their group skied. At no time will the Prepaid ID Card be extended or valid other than the days or time slot it was purchased for the 2013/2014 Ski Season. 2013/2014 Operating Hours change as of Daylight Savings Time; March 9, If your group visits on: Midweek Nights lift tickets are valid, Monday-Thursday non-holiday 3 PM to close Midweek Days lift tickets are valid, Monday-Friday, non-holiday 9 AM to close Weekend Nights lift tickets are valid any non-holiday Sunday through Saturday night session 3 PM to close Weekend Days lift tickets are valid, Any Open-to-Close non-holiday session Lift tickets in this program are not valid during the Martin Luther King holiday, Saturday, January 18 Monday, January 20, 2014, and President s Week, Saturday, February 15 Friday, February 21, Products on the Prepaid ID Card are valid only for the ski season in which they were purchased. The 2013/2014 Ski Season will end in March The Prepaid ID Card is non-transferable. I understand and agree to the Absentee guidelines above.
