5 WESTERN ATHLETIC CONFERENCE VOLLEYBALL TOURNAMENT 2016 TEAM MANUAL Section 5 Tournament Operations Section 5 1 Awards The following regular season award winners will be recognized at the student-athlete awards reception held prior to the start of the tournament: Players of the Week, the All-Freshman team, the All-Conference first and second teams, Coach of the Year, Freshman of the Year, Player of the Year, Setter of the Year, Libero of the Year and the regular season champions. Award nominating and voting will be done by online balloting at wacsports.com/voting. WAC media relations staff will coordinate the process with all head coaches. All coaches are required to cast a complete ballot for the above awards. Athletes and coaches from institutions whose coaches do not vote or do not complete the entire ballot will not be considered for the awards. The following awards will be presented at the completion of the women s volleyball tournament: Tournament Champion trophy, Most Valuable Player and the six-player All-Tournament team. The MVP shall be one of the All-Tournament team selections. The Most Valuable Player and All-Tournament team awards will be voted on by the media and SIDs in attendance. The votes will be tallied by a Conference office representative, and the student-athlete(s) with the majority of the votes will receive the award. In the event of a tie, the tie will stand. Section 5 2 Awards Banquet The student-athlete awards banquet will take place on Wednesday, November 16 at 6 p.m. at the New Mexico Farm and Ranch Heritage Museum located at 4100 Dripping Springs Road, Las Cruces. Dinner will be served for those listed on the Official Travel Party Form, followed by the presentation of awards. Attendance is required by all teams. The banquet is expected to last minutes. Dress for the awards banquet is business casual. Section 5 3 Ball The official ball of the 2016 WAC Volleyball Tournament is the Molten IV58L-N Super Touch (tri-colored). The WAC will provide forty (40) balls and four (4) carts for use during all sessions of the WAC Volleyball Tournament. Section 5 4 Band/Dance/Cheerleaders Any institution interested in bringing bands, dance teams or cheer groups to the WAC Volleyball Tournament must contact Matt Pucak (mpucak@wac.org) by Monday, October 31. Bands will be located across from their team bench and are limited to 30 members and one director. Dance/cheer teams are limited to 30 members and one coach. Cheerleaders and official team mascots may be in non-playing areas on their team s portion of the facility or in spectator seating at any time. During play, the designated area for cheerleaders and official team mascots is on their own team s portion of the playing area, beyond the sideline opposite the team bench or beyond the end line. They must be at least 2 meters (6 feet, 6 inches) from the court, or farther if the facility allows. During timeouts and between sets, cheerleaders and official team mascots may be on their team s playing area or anywhere in the free zone on the first referee s side of the court. Bands and computerized noisemakers should cease playing when the first referee s arm is extended in preparation to authorize the service, and must refrain from performing while the ball is in play. Cheerleaders may use non-electronic megaphones in a non-disruptive manner. Section 5 5 Banners Signs or banners promoting the participating institutions are permissible under the following circumstances: (1) they are hung only in areas designated by the host institution, and (2) the tournament manager approves them in regard to appearance and content. Commercial identification on banners cannot be visible. 4

6 WESTERN ATHLETIC CONFERENCE VOLLEYBALL TOURNAMENT 2016 TEAM MANUAL Section 5 6 Benches The higher seeded team shall wear light jerseys and sit at the home bench (bench traditionally occupied by the host institution for the facility). Section 5 7 Cancellation of Tournament Should the Conference tournament be terminated due to weather or other extenuating circumstances prior to completion, the tournament s top-seeded team shall be the automatic qualifier to the NCAA Tournament. Section 5 8 Coaches Conference Call In place of a coaches meeting at the tournament, a conference call will be held Monday, November 14 at 10 a.m. PT /11 a.m. MT /noon CT to review tournament procedures, rules and policies. Participation by all head coaches whose teams are participating in the tournament is mandatory. Section 5 9 Credentials Six types of credentials will be issued to various individuals by the Conference office for use during the tournament. All credentials are non-transferable and may be used only by the individual to whom they are issued. Any unauthorized use of credentials subjects the bearer to immediate dismissal from the tournament facility. Team: A Team credential, valid for admission and access to the locker rooms and arena floor, will be issued to all studentathletes, coaches and trainers listed on the team s Official Travel Party form. Official: An Official credential, valid for admission and access to the arena floor, officials locker room and hospitality area, will be issued to officials working the event. WAC Digital Network: A WDN credential, valid for admission and access to all media areas and the television compound, will be issued to the WAC Digital Network crew working the event. Media: A Media credential, valid for admission and access to all media areas, will be issued to qualifying members of the working media covering the event. A media credential is not valid for entrance into the locker rooms. All-Access: An All-Access credential, valid for admission and access to all areas of the tournament facility, will be issued to game management, working personnel and selected travel party members. Volunteer: A Volunteer credential, valid for admission and access to specific areas of the championship facility, will be issued to individuals volunteering at the event. Section 5 10 Directions Directions to the Pan American Center, 1810 E University Ave, Las Cruces, NM 88003: -From El Paso, take I-10 north for 45 miles to I-25 north (Las Cruces exchange). -Take the University Ave. exit and turn left on University Ave., crossing over the interstate going west on University Ave. to the Payne/Triviz stop light just after the overpass. -Turn left on S. Triviz Drive. -Turn right on Payne Street; proceed south and turn right into the large parking lot at the south end of the Pan American Center. This will be your drop off area. Buses parking is in the south end of the lot. Directions to the New Mexico Farm and Ranch Museum, 4100 Dripping Springs Rd, Las Cruces, NM 88011: -Exit campus on Payne and turn east onto University Ave. -After 1.5 miles, University Ave. will become Dripping Springs Road. -Turn left on Aggie Rodeo drive at the entrance to the Farm and Ranch Museum. -Continue under sign for 0.2 miles to the parking lot. Section 5 11 Games Committee The Games Committee will actively supervise the conduct of the conference tournament. The games committee shall consist of the Coordinator of Officials (if available), a Conference office representative and the host institution s tournament manager. 5

7 WESTERN ATHLETIC CONFERENCE VOLLEYBALL TOURNAMENT 2016 TEAM MANUAL Section 5 12 Hospitality Hospitality for student-athletes will be provided in their respective locker rooms following each match. Hospitality for coaches, media, administrators, and working personnel will be located in the Barbara Hubbard Suite on the second floor. Dinner will be served between matches on Thursday and Friday, and before the championship match on Saturday. Section 5 13 Laundry NM State will provide laundry services for teams who advance through the tournament. To make arrangements please contact Louie Sandoval at (575) or mgrlouis@nmsu.edu. Section 5 14 Locker Rooms Locker rooms will be provided for all teams in Pan American Center. Locker room assignments will be set when the tournament bracket is finalized and directional signs will be placed in the building directing teams. Section 5 15 Media Hope Shuler, WAC Assistant Commissioner of Media Relations, will be on site to manage all media relations services. Box scores will be provided to all head coaches and media present at the tournament following each set. Media seating will be located at press row on the arena floor across from the scorer s table and team benches. The media interview/work room will be located in the PAC Media Room Media hospitality will be provided in the Barbara Hubbard Suite on the second floor of the Pan Am Center. Dinner will be served between matches on Thursday and Friday, and before the championship match on Saturday. Section 5 16 Media Time-Outs In accordance with the NCAA championship policy, media timeouts will be used for all tournament matches. A media timeout occurs in each set when the first team has scored 15 points (eight points in the deciding set), unless a team has requested a timeout prior to that point. All timeouts (electronic or coach called) will be 75 seconds in length. Section 5 17 Medical Procedures The main training room is located in the Pan American Center in the south hall entrance. While at the Pan American Center, the following will be made available: On Both Benches Water/Gatorade Cups Injury Ice Towels Biohazard Supplies On the Home Bench (Available for both teams) AED Splint Bag Crutches Water Cups Towels Ice In the Locker Rooms A physician and at least two EMTs will be on site during all tournament matches. Teams should communicate any athletic training needs of participating student-athletes to Marissa Sexton (msexton@nmsu.edu) by Monday, November 14. Section 5 18 Merchandise Championship merchandise will be available for purchase in the north lobby of the Pan American Center throughout the tournament. Section 5 19 National Anthem The national anthem shall be played prior to every match of the tournament. Teams should stand near their benches for the national anthem. 6

8 WESTERN ATHLETIC CONFERENCE VOLLEYBALL TOURNAMENT 2016 TEAM MANUAL Section 5 20 Officials The officials for the tournament will be assigned by Alan Suzuki, the WAC s Coordinator of Volleyball Officials. Line judges for the tournament will also be assigned by the Coordinator of Officials. Section 5 21 Parking Team buses may drop off athletes on the south end of the Pan American Center. Buses may then park at the south end of the team drop-off point. Spectator parking is located in the north and south Pan American Center lots. Section 5 22 Participant Seating All seating in Pan American Center is general admission. Teams not playing in a current match may sit anywhere within the stands. Section 5 23 Player Introductions The NCAA format for player introductions will be used for all matches of the WAC Tournament. Following team warm-up, teams should return to their benches for team huddles and announcements. The national anthem will be played while teams stand near their benches. The visiting team will then be announced. Players should proceed from the team bench to the end line as their names are called. The announcer will begin with the nonstarters, followed by the starters and then the coaches. All players (nonstarters and starters) should line up on the endline. The home team introductions will follow the visiting team introductions in the same format. Play will not begin until the WAC Digital Network broadcast begins five minutes after the clock expires. Teams may head back to their respective bench areas until the referee whistles for the captains and remaining starters to go to center court to shake hands before play. Section 5 24 Post-Match Interviews If requested by media, the coach and student-athletes from the winning team are required to be in the interview room immediately following the 10-minute cooling off period (or sooner if ready). The losing coach and student-athletes then follow, depending on media requests. Hope Shuler from the WAC will coordinate with each school s SID and/or head coach if interviews have been requested. 7

Section 5 26 Pre-Match Protocol Please see Appendix 2 for the pre-match protocol, which is subject to change. Timing sheets will be posted and handed out onsite prior to each match. The second match each day will start 30 minutes after the conclusion of the previous match, or at the designated time, whichever is later. There will be a 10 minute intermission between sets two and three for all matches. Section 5 27 Scouting Seats for Coaches Seating will be provided for the coaches of non-participating teams on press row across from the scorer s table and team benches for scouting purposes for any single match. There will be six seats total, three each for the next possible opponent. 8

10 WESTERN ATHLETIC CONFERENCE VOLLEYBALL TOURNAMENT 2016 TEAM MANUAL Section 5 28 Seeding Seeding for the WAC Tournament shall be determined by regular season finish in the Conference standings. In the event of tie(s) for the Conference tournament qualification, the following tie-breaking procedures shall be implemented: [1] Two-Way Tie: [i] The winner of the head-to-head competition is the higher seed. [ii] If the tie is for first place, compare the tied teams records against the next highest finishing team and continue through the standings. The team with the best record/winning percentage against the next highest finishing team or group of tied teams advances. If the tie is for any position other than first place, the comparison shall begin at the top of the standings. [iii] If a tie still remains, it will be broken by comparing the number of sets won versus the number of sets lost against teams beginning at the top of the standings. [iv] If a tie still remains, the Conference office shall conduct a draw. The drawn team shall receive the higher seed. [2]Three or More-Way Tie. Once a tie has been reduced to two teams, the two-team tie-breaker is implemented. [i] Compare the records of the tied teams against each other. The team(s) with the best record(s) versus the other tied teams receives the higher seed or advances to the next tie-breaker; the team with the next best record versus the other tied teams receives the next highest seed or advances to the next tie breaker, etc. [ii] If the tie is for first place, compare the tied teams records against the next highest finishing team and continue through the standings. The team with the best record against the next highest-finishing team or group of tied teams advances. If the tie is for any position other than first place the comparison shall begin at the top of the standings. [iii] If a tie still remains, it will be broken by comparing the number of sets won versus the number of sets lost against teams beginning at the top of the standings. [iv] If a tie still remains, the Conference office shall conduct a draw. The first team drawn shall receive the higher seed, the second team drawn shall receive the next highest seed, etc. Section 5 29 Squad Size All participating teams may have a maximum squad size of fifteen (15) student-athletes and a maximum of 22 persons in the bench area. Teams will be required to designate their 15 student-athletes no later than 30 minutes prior to their first match of the tournament. No changes can be made for the duration of the tournament after that time. Section 5 30 Statistics Computerized game statistics will be provided for all matches. Copies of statistics will be delivered during timeouts and immediately after the conclusion of each set to the team coaches, individuals seated at the scorer s table and the media. 9

11 WESTERN ATHLETIC CONFERENCE VOLLEYBALL TOURNAMENT 2016 TEAM MANUAL Section 5 31 Tickets Ticket Packages Tickets for the 2016 WAC Volleyball Tournament can be purchased as either an all-session pass or as single-session tickets. A single-session ticket allows access to one day s worth of matches. All tickets are for general admission seating. Students from any WAC school with a valid School ID will receive free admission. All-session and single-session tickets to the 2016 WAC Volleyball Tournament will be available for purchase beginning on Monday, Oct. 10. Purchase your tickets online via Ticketmaster or by phone at (575) or visit the Pan Am Center box office. The 2016 WAC Volleyball Tournament will consist of five matches in three sessions. Ticket prices are as follows: General Admission All-Session Price Single Session Price Adults $25 Adults $12 Youth (12 and under) $10 Youth (12 and under) $5 Children (2 and under) FREE Children (2 and under) FREE WAC Students FREE WAC Students FREE Military NM State and the WAC would like to salute active and retired military by offering $5 tickets (four tickets per military ID). Pass List Institutions may utilize a pass list for the volleyball tournament, but will be charged for each individual listed who attends. Single session tickets will be given to individuals on the pass list unless otherwise specified. Pass list should be at the pass gate no less than 1.5 hours before your scheduled match time. Please see the Pass List located on page 15 of this manual for further instructions. NM State Ticket Sales Contact The ticket sales contact with NM State is Patrick Kennedy. He can be reached at (575) Section 5 32 Travel Party The official travel party size for the volleyball tournament is 22 individuals. Each institution is required to complete an Official Travel Party/Banquet Form, along with a Team Information Form. Coaches should access these forms at html. Under Volleyball, click Travel Party Form or Team Information Form to fill out the respective forms. Forms shall be submitted to the Conference office no later than Wednesday, November 9. Individuals listed on the Official Travel Party Form must be employees of the institution, student-athletes or other individuals (student managers, team doctors, athletic trainers, radio broadcasters, etc.) who will perform the same match or team-related duties during the tournament that they have performed during the season. Any changes to the Official Travel Party Form after original submission must be sent to Matt Pucak (mpucak@wac.org) by 11:59 p.m. on Sunday, November 13. No changes will be accepted after this deadline. Only those individuals listed on the Official Travel Party Form shall be provided a meal at the awards banquet, a championship participation gift from the conference office, and will be permitted to sit on the bench during the tournament. Section 5 33 Uniforms The higher-seeded (ex. No. 1 seed is higher than No. 2 seed) team will wear light jerseys and will sit on the home bench. During competition and the awards ceremony, competitors must wear the proper uniform (warm-ups included) of the institution they represent in the tournament. 10

12 WESTERN ATHLETIC CONFERENCE VOLLEYBALL TOURNAMENT 2016 TEAM MANUAL Section 5 34 Videotaping NM State will film all matches of the tournament using its VolleyMetrics camera(s), which will automatically upload the film to VolleyMetrics around 30 minutes after each match ends. In addition to the VolleyMetrics feed, there will be a backup camera filming the matches. A small format file of this feed will be available immediately following the match via flash drive. If the competing teams wish to film their matches as well, a designated area for cameras will be set-up on the north side of the arena. A power strip will be provided although it is suggested you bring an extension cord. Section 5 36 WAC Digital Network Practice Presence The WAC Digital Network Producer, Director, and Announcers are permitted to watch entire practices for research purposes and to engage in private conversations with coaches immediately following practice. Other crew members (camera operators, audio technicians, and utilities) are permitted in practice for setup purposes as well. Interviews Coaches and requested student-athletes must be made available for WAC Digital Network interviews post practice and winning coaches/student athletes must be made available for live post-match interviews on the court prior to cool-down time. Leading coaches (or higher seed coaches in event of a tie) must be made available to the WAC Digital Network at intermission of each match for live interviews. Section 5 36 Warm-Up Participating teams will not be allowed on the court until 60 minutes before the start of each match. The second match will start 30 minutes after the conclusion of the previous match or at the designated time, whichever is later. The pre-match protocol is outlined in Appendix 2. The WAC will provide forty (40) balls and four (4) carts for use for shared and individual team warm up times. 11
