6 SHIPPING TO To best address everyone s needs we have two different shipping options. Please choose which option works for you. We are committed to making this event as cost-effective and as easy as possible. For any questions or concerns please call the office at or Katy on her cell at OPTION 1: SHIPPING TO BTFP PRODUCTION FACILITY Your first option is to ship your exhibitor materials to the Break The Floor Production Facility before the event. Once you ship your packages/freight to the Break The Floor Production Facility, we will deliver your items directly to your booth prior to set-up. If you have exhibited at different expos before, you know that exhibitors normally have to pay exorbitant fees for the weight of their packages and the labor to get them to and from their booths. DancerPalooza is pleased to provide this service FREE OF CHARGE. All packages/freight for BOTH DANCERPALOOZA AND DANCE TEACHER SUMMIT must arrive at the Break The Production Facility between Monday, July 13 th and Friday, July 17 th. We will be accepting packages between the hours of 9am and 4pm. EACH box must be labeled with the company name AND booth number! Items received after Friday, July 17 th cannot be guaranteed to arrive in time for set-up. Ship early! If you are shipping from a 3 rd party, please make sure they include your booth number!! All items must be properly boxed/labeled. No loose items, please. If participating in the Goody Bag option, DO NOT ship with your exhibitor freight. OPTION 2: DIRECT LONG BEACH CONVENTION CENTER UNLOAD Your second option is to bring your exhibitor materials directly to the Long Beach Convention Center North Loading Dock. If you prefer to bring your own truck and unload at the Convention Center, please note the following rules: 1. Trucks will ONLY be allowed at the loading dock during the designated times below. To best serve everyone, we ask that you sign up for your projected arrival time on the MAIN EXHIBITOR FORM on page 15 of this packet. We understand that your plans may change. This will just help ensure we have enough staff on hand. 7 2. When you arrive please check in at the Long Beach Convention Center North Loading Dock. A BTFP Representative will give you, and anyone helping to unload/set-up, wristbands so you can enter and leave the premises. (Please note: your company representative will also need to check in on the Main Lobby Floor to receive official badges and final info.) Trucks will be unloaded in the order in which they arrive. Your driver may have to sit and wait while other companies unload. Please be patient. We will get everyone in and out as quickly as possible. 3. BTFP crew will assist with moving materials from the dock to your booth 4. Please bring your own dollies and/or carts. 5. Immediately after unloading your materials, please move your car/truck from the loading dock. Please see PARKING on page 9 for more info. SHIPPING FROM After DancerPalooza and Dance Teacher Summit, there are two different options to ship your materials. Please choose which best fits your needs. IF YOU ARE EXHIBITING AT BOTH SHOWS, YOU CAN STAY SET UP IN BETWEEN SHOWS. There is no need to breakdown/re-setup. We will have security on-site. However, we suggest covering your booth/taking any valuables with you at the close of DancerPalooza. OPTION 1: SHIPPING FROM BTFP PRODUCTION FACILITY At the close of the Exhibit Hall, all materials that are being shipped from the Break The Floor Production Facility must be properly packaged, labeled and ready for shipment. BTFP will transport all packages back to the Break The Floor Production Facility. Please schedule pick-ups with your designated shipper (UPS, FEDEX, GES, etc) for Friday, July 31 st from 9am-4pm. Please note BTFP will not be scheduling any pickups. Be prepared with your designated shipper s account number and labels for each package being sent. Please use the Break The Floor Production Facility as the Shipping From address. If needed, we will have a printer/computer available to print labels. Once all packages are clearly labeled and ready for shipment, please fill out the OUTBOUND SHIPPING FORM in your registration packet and bring it to the Exhibitor Service Desk. A BTFP representative MUST inspect all outgoing packages and sign off on the shipment before the exhibitor leaves the premises. OPTION 2: DIRECT LONG BEACH CONVENTION CENTER PICK UP Your second option is to pick up your exhibitor material directly at the Long Beach Convention Center North Loading Dock. 8 EXHIBITOR REGISTRATION Please check-in at the Exhibitor Desk on the Main Lobby floor to receive your badges and registration packet. The Registration Desk will be open during the following hours. Plenty of BTFP staff will be available to assist exhibitors with set-up, questions, etc. Attendees will not have access to the booths until the Grand Opening. During the load in and load out, we will have an Exhibitor Service Desk at the North Loading Dock. A BTFP representative will be available to assist with load in, freight/packages, electric, parking, labor, rentals and general exhibitor questions. DANCERPALOOZA Thursday, July 23 rd Friday, July 24 th DANCE TEACHER SUMMIT Monday, July 27 th Tuesday, July 28 th 2:00p-7:00p 8:00a-1:00p 2:00p-7:00p 10:00a-3:00p Each booth includes: 6 draped table, 2 chairs and a waste basket 8 high BLACK back drape and 3 high BLACK side dividers (pipe & drape) Company sign (simple, black & white) hung from top of booth Complimentary electrical outlet (120VAC/15amp) ONLY if you checked the box on the Exhibitor Contract If you need any additional items for your booth (more tables, chairs, easels, garment racks, TVs, etc.) please fill out the EXHIBITOR RENTAL FORM in the attached EXHIBITOR RENTAL CATALOG and return by Friday, July 3 rd. BTFP is able to provide virtually anything for your booth. We have relationships with a wide range of companies who can provide audio/visual equipment, greenery, graphics, furniture, etc. Please contact us immediately if you are interested in anything else for your booth. Once your set-up is complete, please gather any boxes or containers that you need BTFP to store for the duration of the show. Label each item you want stored with the labels provided in your registration packet. All items left for storage will be picked up before the opening of the show. 9 PARKING The Long Beach Convention & Entertainment Center has more than 4,000 parking spaces around the Center in three parking garages and one ground level parking lot. Parking/Trailer parking: Parking in the Arena flat lot is $10.00 per space (10'x16' is the size of the space) and $10.00 additional if you want to park overnight. If your trailer is larger than 10'x16', you must pay for 2 parking spaces ($20.00) and then $20.00 additional to park overnight for 2 spaces. There is no in/out access throughout each day. **STREET CLOSURES** The Special Olympics will also be taking place in Long Beach during DancerPalooza and the Summit. Below are the street closures. Please plan accordingly. Sunday, July 26 th Shoreline Drive will be closed in both directions from Broadway to Ocean Boulevard. The 710 Freeway will exit onto Broadway. The Convention Center can be accessed from Pine Avenue and Seaside Way. Monday, July 27 th - Friday, July 31 st 7:00a-4:30p - Shoreline Drive will be closed in both directions from Aquarium Way to Broadway. The 710 Freeway will exit onto Broadway. 10 BOOTH HOURS Exhibit booths must be staffed during ALL posted Exhibit Hall hours. No exhibit, or portion thereof, may be removed from the exhibit hall during the event without the consent of Break The Floor Productions. We will be controlling traffic to and from the workshop rooms before and after booth hours. Please note: Although security services will be provided throughout the event, BTFP and the Long Beach Convention Center will not be responsible for loss, theft or damage of any kind. We suggest that you remove any cash or valuables at the end of each day. BOOTH BREAKDOWN/LOAD OUT DANCERPALOOZA Sunday, July 26 th 4:00p-7:00p DANCE TEACHER SUMMIT Thursday, July 30 th 2:00p-5:00p No packing or dismantling of exhibits will be allowed until the official closing of the exhibit hall. We will begin returning empty containers at the close of the show. It may take up to an hour to return all containers, so please be patient and plan travel accordingly. Because this is a prime time for theft, exhibitors are urged to pack their materials expeditiously and to make all necessary arrangements for the distribution of their outgoing freight before leaving Beat Street. For shipping instructions, please refer to the SHIPPING FROM section on page 7 of this packet. The Exhibitor Service Desk will be open during this time to assist with load out, freight and to answer any questions. INTERNET Wireless internet is available for purchase on-site from the Long Beach Convention Center. To purchase you can just open a new window on your computer, and a Long Beach Convention Center page prompt will pop up. Then simply enter your information and credit card. All wireless services have private IP addresses (up to 1.54Mbps up/1.54bps down.) Price is $79.99/24 hours; $159.99/3 days; $239.99/5 days. SOCIAL MEDIA Start to spread the word that you will be in Long Beach! We have created some graphics that you are more than welcome to use on Social Media or your website! If you have items from last season, sell everything for a discounted price and you won t have to ship them home! Have larger items? We suggest offering free shipping to all orders placed on-site. Please note that it is the responsibility of the exhibitors to pay all applicable license fees and taxes associated with such sales. EXHIBITOR COMPS For DancerPalooza exhibitors, we are pleased to offer 3 FREE CRASH COURSE PASSES. If exhibiting at the Dance Teacher Summit, we are pleased to offer 3 FREE FULL REGISTRATIONS*. We thought this would be a great perk that you could pass on to your best clients or business contacts. PROGRAM AD DANCERPALOOZA The PASSPORT GUIDE is the Beat Street keepsake. It includes the performance schedule, floor plan, exhibitor information, show info and more! It includes the entire schedule, Exhibit Hall floor plan, exhibitor ads, class notes, business seminar materials, etc. This is all included in ONE book that the attendees use religiously, even after the conference. All companies contracted for a Summit Guide ad must get all artwork to DTS by Friday, July 3 rd. Each full page insert is 8.5 x11, with a ¼ bleed on all sides. Please provide ads in high resolution print-ready PDF format only. All fonts and images must be embedded. All images should be placed into ads as CMYK. Spot colors should be converted to CMYK. Featuring live music, special performances, complimentary cocktails and more! Dance Card To ensure that attendees visit each booth we have created the Summit Dance Card! Attendees will receive a dance card in their registration packet. Each attendee must visit all participating booths AND get their card punched. Once the attendees have visited all the participating booths they will drop off the card at the registration desk. All attendees who complete and return the card will be automatically entered in a raffle to win $1,000. The winner will be announced on Thursday, July 30 th at 2:00p on the main stage. Attendees must be present to win. As a participating exhibitor, your only requirement is to punch the attendee cards. To ensure that you get the most out of the card, we suggest you offer to show your company s products before punching the card. We will provide the cards and the special hole punchers in your registration packet. Although suggested, participation is optional. If you are interested, please indicate so on the MAIN EXHIBITOR FORM on page 15 & 16 of this packet. Dance Dollars In an effort to boost sales at your booth we have created Dance Dollars! Dance Dollars are the equivalent of cash in the Exhibit Hall. Attendees can put the Dance Dollars toward any purchase at any booth; however, it won t cost you ANYTHING! At the end of the show, exhibitors return the Dance Dollars to the registration desk for CASH! The Dance Teacher Summit will issue Dance Dollars to all attendees in their registration packet. Attendees will have the option to win additional dollars throughout the event. Dance Dollars will be issued in $5 increments.
