Carried. Matters Arising: Sponsors Evening. The weather played a part in the lack of visitors. Alfresco and Physio First are both very keen to come on board. Business Applications. They would like to talk to PBHA regarding the eftpos systems. They also sponsored a portable eftpos machine on the night of the Casino Fundraiser. Lotto Signs. Now that the logo has been confirmed Wade will confirm with Lotto. Go Hockey Signs. Brent will bring these with him for opening day tournament. Head Injury Policy. Julie has been speaking to a surgeon who suggested that the rugby policy is a good place to start. Julie will send something through for approval. Colin Chester. Julie has met a stumbling block getting hold of Horowhenua regarding how this works. Coach/Manager Nominations. It has been raised that the nominations were closed early without much notice. The nominations were called for starting from November 2015 with notices and reminders being placed on the web, facebook, IMG contacts, Club Contacts, School Contacts. They are advertised as soon as the rep calendar has been set with Central which is completed at the end of October. Hockey is a 12 month a year sport now and everyone needs to regularly update themselves with what is happening. Correspondence: Buck Rogers. Thank you to Buck for fixing the electrical sockets. Tony Scragg. Clarification around Uni Students. Moved that inwards is accepted and outwards approved. David Preddey/Ngaio Haenga. Carried.

2 Reports: 1. Financial Report U18 Boys. ANZ deposit has been returned. Online Saver. The auditor recommends removing some of the funds in the online saver. Moved that $50,000 be invested in a term deposit. Ngaio Haenga/David Preddey. Carried. Bonus Bonds. Ngaio to look into Bonus Bonds and are these allowed. Unfinancial Players. Noted that players who are not paying their fees can be made unfinancial across NZ, this needs to be made clear to players. Canteen/Bar. The auditor states that accountability needs to improve in this area. The bar and canteen to be run through one one till. The till has been re programmed and must be used correctly. A month trial to take place from the start of the season. The canteen will no longer be an option as a fundraiser. BBQ Application. Ngaio to make an application to the GDC for a year round BBQ fundraiser option. Noted that this may require users to have at least one food handling certificate. Financials. A copy of the financials to be kept with the minutes. May does this and will get her copy of the minutes signed by the Chairman. U18 Boys Funds. May to contact Helen regarding the funds raised by the U18 Boys. Can this money go towards those boys who have completed the fundraiser either trialling and attending Central Tournaments, playing for other associations, attending development courses. Noted these players were Kohere Tuapara, Lachlan Vause, Ethan Rogers. Moved that the financial accounts be approved. Gavin Kernohan/Julie Hollamby. Carried. 2. RDM Report Affiliates. The team attending are being called the PB Babarians. Shirts. Request that PBHA cover the costs of a shirt being made for the team members. Noted that PBHA are not comfortable with this as the team is not all PBHA. Any tournament shirt would be at a similar cost. PBHA may possibly underwrite the cost of the shirts. Team Make Up. The team is made up of 7/ 8 PBHA males and others from Australia and Central. The women's team has 4/ 5 PBHA Females and the remained from Australia and Central. Cost. Shirts will cost $1216 for 32 shirts. Wade to follow up with players and get interest in who would like a shirt. Uniforms. Uniforms are being borrowed from other teams. Identity. Noted that the team does need an identity.

3 Juniors. Juniors will be secondary mondays, intermediate tuesdays, Year 5/ 6 wednesdays. Competition Sub Committee. They will meet on Thursday. Gisborne Intermediate. Wade has set up a system with Gisborne Intermediate to allow players to register and Wade will work with Gisborne Intermediate to set up teams and coaches. Club Based Intermediate teams. Noted that there is an appetite to return this grade to Clubs. Clubs have better access to coaches and support systems. Wade to look at this for Wade to talk to Sport Gisborne about how other codes manage this. Moved that the report be accepted. David Preddey/Julie Hollamby. Carried. General Business. 1. HKHTATTM Requests. Canteen Stock. There will be no canteen stock, they will be responsible for stocking the canteen and having their own food handling certificates. The till will be available. There will be no eftpos available. If this is needed they will need to hire their own. Seafood Sales. This will be the responsibility and at the discretion of their food handler. This is not a decision for the PBHA. 10th April Fundraiser. This date is currently booked for Junior Cricket. They are welcome to request another date. 2. Fundraising Update. Lion Foundation/FIrst Light. Both places have declined applications for the U18 Boys and U15 Girls. NZ Racing Board. There is a meeting set for the 5th of April, decisions will be at least 10 days from here. Wages. Funding will be completed following accountability for previous grants being submitted. Moved that PBHA apply to Southern Trust for $20,000 towards the cost of replacing uniforms. Julie Hollamby/Gavin Kernohan. Carried. Moved that PBHA apply to Lion Foundation for $20,000 towards the cost of replacing uniforms. Julie Hollamby/Gavin Kernohan. Carried. Moved that the PBHA put interest from Term Deposit into an account to created a fund for hockey members to be applied to. Criteria and account details to be determined. Ngaio Haenga/Julie Hollamby. Carried.

4 3. Grandstands. Toby Parker. Costs submitted for $4,100 inc GST EIT. They would not be on the list until Gisborne Development. Dave Mackey to follow up with Phil Grogan. Tumu. There is an application process for schools etc to become a part of a fundraising venture. Ngaio to follow up. Steel and Tube Hawkes Bay. There may be an option here too. 4. Amended Game Cards. Changes approved as discussed. Club Meeting. There will be a club meeting for all and anyone to attend and have the game cards, competition rules, website explained. This will be the 13th of April following the IMG Meeting. 5. Age Group Dispensation. Application Form. An age group dispensation application tabled to allow specific Intermediate players to play in the senior grade. Application Process. Noted that this would be a very specific process that would ensure the safety of the player. Clubs to start the process, followed by submission to the Competition Sub Committee then the PBHA and signed off by the Regional Development Officer. May to make the noted changes and send out for approval via Amended Rule. An amended rule from FIH is mandatory. Rule change to be sent to club contacts. Amber and Jo to be asked if they can attend the Club Meeting on the 13th to discuss. May to follow Up. 7. Rep Managers Handbook and Appendices. Kiri Taylor, Louise Teneti, Wade Manson to meet and go over Rep Policy and Rep Manager Handbook and association appendices to ensure everything is inline. New policies to be submitted to the PBHA prior to the next scheduled meeting Monday 11th April.

5 8. Casino Night New dates are 24th and 25th of June. May to contact Casino Entertainment. Advertising to start from the 1st of May. 9. Volunteer Awards. HNZ awards for 2015 awards are open. Wade to send out criteria again. Thursday. Names to be submitted to May by Thursday Evening to collate. Friday. May to send out collated lists. Monday. All comments and approval through by Monday. Tuesday. May to prepare applications for submission. 10 Opening Day. Reminders to go out to teams. Noted only registration so far is GBHS. 11. Sound System. May to collect the quotes. Noted that no funds are available at this time. PBHA to continue using CLaude's. 12. St Mary s Quiz Night. Wade to take available June dates back to the school. 13. Signs. The Lytton Road sign has hit a stumbling block. It requires building and resource consent 14. National Maori Tournament. The tournament will be held in Tamaki Makaurau in Tairawhiti will look to host in Nannies Inc Team. Player Releases. Releases have been received from the schools concerned. Intermediate Players. These have been removed from the team list. IMG Database. Registrations are now open. May to ask them to register the team through here.

6 Once the team is registered May to send a letter to confirm that the team has entered the competition. Meeting Closed 9.05pm. Next Meeting Monday 11th April 6pm HBR.
