2 Page 2 From The State Worthy President Florida State Aerie Officers Worthy President Bill Whitten - #4216 Hello Brothers and Sisters, Here we go into the month of May. We went to Cocoa #3550 on March 21st, what a great weekend that turned out to be. I brought home more biplanes for my new airfield. I guess I will need to build a new hanger and add 5000 ft. to my runway. From there we went to Cypress Hut #4509 for the State Picnic. What a great job by both the host Auxiliary and Aerie. Everyone had a great time and the weather was perfect. That night I attended my grandsons wedding, what a night. My feet were really dragging when the day was over. April 4th was the State Aerie E-Board meeting at Orlando #3496. Plus that night was their Anniversary. It was a long day but what a great time was had by all. Next stops were Ormond by the Sea, Palm Bay, and Pinellas Park. Then on to the Bowling Tournament at Suncoast #3153. Will do a follow up next month on the rest of my travels. THOUGHT FOR THE DAY People are about as happy as they make up their minds to be. Same hotel as the State Convention. The E-Board meeting will start 5:00 pm. The State Convention will start on Thursday June 18th. The first session will start at 9:00 am. The second & third sessions are Friday June 19th and Saturday 20th and will start at 10:00 am. Convention Registration forms must be received by the State Secretary by May 27th. NO delegate registrations will be accepted at the Convention. Banquet Order Forms must also be received by May 27th. All Grand Aerie Charity Money must be sent to the Grand Aerie by May 1st or it might not get credited to your Aerie or Auxiliary by State Convention. If your District will be hosting a Hospitality Room at State Convention, please let me know how many Worker Passes you will need for the day of your Hospitality Room. There will be a $40.00 charge per/person for a Hospitality Room Day Pass at State Convention if you are not on the preregistered list. NO Hospitality Room Day Passes will be given out on Saturday. Charity grants must be submitted by May 13th (30 days before Convention). This is necessary to give us time to process the grants. When you fill out your grant request use the new Grant Form on the Grand Aerie website and the IRS Determination Letter. Grand Aerie Per-Capita Tax is due on May 31st. Secretaries make sure to drop all members not in good standing before May 31st so the Aerie is not charged for past due members. Also, remember to update the Aerie Officer list in MMS before May 31st with the incoming Aerie Officers and Committee people. There are four (4) Aerie s that have not paid their required State per capita tax from last November 31st. You collected the money when your members paid their dues - where is it? 3 Page 3 From the State Madam President Dear Sisters and Brothers, It is hard to imagine that it is almost May and soon my year of great experiences will be over. I have had such a great time so far and am looking forward to my last month and State Convention. Please try to join us at convention for a few days of learning and a great time. I cannot tell you how grateful I am to have met all of you across the state. Your generosity to the charities has been awesome. The youth rally will be May 16 in Ormond, Steve and Julie have a great day planned for your children and grand children. It is all free because of the generous Aeries and Auxiliaries across the state, try to take advantage of this fun day. The state bowling tournament will be over by the time you get this letter and I can tell you by past experience that it was a great time. New Port Richey always does a great job on all events that they host. I would like to wish all mothers and grandmothers a happy Mothers Day. Give them a big hug because you never know how long they are going to be with you. In closing - keep up all the good work that the Eagles are known for and also TEAMWORK that we are so good at. When you have a team working everyone has to work a little less. Keep up the TEAM WORK and all of our jobs will be easier. Modifies Section 28.1 to clarify that Past State Presidents are a necessary asset at the State Convention and should be reimbursed for the number of days that they attend. It also provides a clearer definition of Chairman reimbursement. Modifies Section 28.2 to clarify that the knowledge and experience that is available from our Past State Presidents should be welcomed at all Executive Board meetings. Also eliminates the words Commissions and Agents and changes them to Assignments. This provides more clarity when individuals are assigned by the State Aerie. Modifies Section 28.4 to clarify that there are members appointed by the State Worthy President who conduct official business on behalf of the State Aerie and they may request reimbursement for time and travel that may not specifically covered in Sections 28.1, 28.2 and 28.3 of the State By- Laws. Added a new Section 28.6: to clarify that a claim to the State Aerie for reimbursement (lodging, travel, tolls, etc.) may only be reimbursed once. For example: If you travel or share a room with another person then only one (1) of you may submit a request for mileage or the hotel room reimbursement - not both. Or, if the Grand Aerie/Auxiliary, State Auxiliary, District Aerie/Auxiliary, local Aerie/Auxiliary, or any other another source (such as a business or hotel) is reimbursing you for the expense then you may not claim reimbursement from the State Aerie for the same expense. 5 Page 5 Flag Ceremony at State Convention At the 2015 State Convention in Orlando, we will again have an Opening Flag Ceremony to recognize the Auxiliaries in our state. Each Auxiliary will have a representative carry their flag into the meeting room. It is recommended that the representative be the out-going Madam President from the year. If she is not attending, another sister could be the flag carrier. You may include something on the flag that signifies your area of the state, your Auxiliary s name, or it can just be your name and Auxiliary number. Please be creative! If you had a flag in a previous year s ceremony, you may use the same one. The flag should be rectangle and as close to 11 x 14 inches as possible. (The 11 inches would be the vertical sides and 14 inches, the horizontal sides.) Please include a dowel to extend approximately 18 inches beyond the bottom of the flag. The dowel should be no more than 7/16 inches in diameter in order to fit in the flag holders. On Thursday, prior to the Opening Ceremony at State Convention, the representatives should gather in the hallway outside of the meeting room to line up for the flag presentation. Convention Flag Ceremony Participant Auxiliary # Name: Name of Representative: Office Held at Time of Convention: Florida Hall of Fame It is time to start thinking about nominations for the Florida State Hall of Fame. The following are the requirements for nominations: 1. Any member in a local Aerie/Auxiliary, including dual members, in the State of Florida who shall have accumulated fifteen (15) years of membership in the FOE, and in good standing at the time of nomination. 2. Any deceased member who was in good standing and on the rolls of their local Aerie or Auxiliary in the State of Florida, and had not less than fifteen (15) years of service, at the time of their passing. 3. The prospective nominee, during the course of his/her membership in the FOE, shall have demonstrated outstanding character, leadership and service together with showing a positive dedication to the principals of the FOE. The nominee recommended must be approved by motion on the membership floor at a regular meeting. A letter of recommendation shall be forwarded to the Hall of Fame Committee and include a statement that the member being recommended meets the eligibility requirements and shall be attested too, with the proper Aerie or Auxiliary seal and the signature of the Secretary and the President. Auxiliary candidates also require a complete resume of the member being nominated.
