2 Windword Page 2 BOARD OF GOVERNOR S MEETING Windycrest Board Meeting Minutes Feb 6, 2012 (draft) In attendance: Doug, Danny, Tom, Kenny, Jack, Judy, and Barbara. Guests were Mark Lobo, Steve Snider, Matt Loyd, Scott Williams, Lisa Weatherholt, Mike Jones, Bob White, and Grant Gerondale The meeting was called to order at 6:30. Matt has a boat in KS, seeking Associate membership, membership passed. Scott had questions about changes in training programs. Doug explained the changes. Steve would like to borrow some equipment to run the Bartlett Regatta on June 2nd. He is the PRO for the regatta. He thanked all the members who helped out at the boat show. Steve felt the show ran smoothly and was successful. The Snipe Regatta will be moved to June 9 & 10 from June 23 & 24 according to Steve. Lisa came to discuss the training. She would like to have a "committee" for training. She also was interested in the training schedule for this coming year. Mark reported on the MS Regatta. The theme will be "33 RPM race to cure MS". It will be a vinyl record theme. TU will help with the brouchure. The MS Committee is working to increase sponsorship and thanked the involved members. Also discussed were changes in the law to operate the regatta, and the OKMS will handle more of the back end. We are on our way to another successful regatta for Bob just came to see what's going on. Facilities: Jack discussed the broken breakwater. He has talked to Docks and Services and received a bid. The bid was approved and we expect the breakwater will be repaired within the next month. Activities: Helpers and decorations are ready for the awards party. Other details are being worked on too. New items for the Windycrest store have been ordered. Plans are in the works for the New Kids On The Dock party in March. Fleet Captain - No Report. Windword Editor - Discussed ways to distribute the Windword now that it is an e-edition only. Discussed the trifold brochure too. Treasurer - Renewal are going good. Corp lease for 2012 has been paid. As of April 1, the phone by the bathhouse will be disconnected. Charge your cell phones. Secretary- It was noted that the draft of the January 2012 minutes did not include the discussion on the club phone. With the increased use of cell phones, it was felt that we did not need the phone by the restrooms. It was moved and approved to discontinue the phone. Any objections should be voiced to a BOG member. The minutes were approved as corrected. Past Commodore No report. Rear Commodore - No report. Vice Commodore - Danny discussed new memberships and renewals. There has been movement on the slip list because of non renewals. Motion passed to change and add club rules to clarify tie up and launch rules. Commodore - The Club made a donation to ensure that the Darline Hobock Trophy will be created for the US Sailing Alter Cup Competition. Old business - The BOG agreed to reimburse Grant for Sailing Seminar advertising expenses. New Business - Discussed if there is any advantage to donating the Sabots. Talked about the 4th of July firework insurance. J. Stanish RJStanish@aol.com COMMODORE S REPORT As I sit here and watch it snowing outside, I can t help but get excited about the upcoming sailing season. We have a great Board of Governors in place, sixteen new members last season with a list of new recruits from the boat show to start this season. Grant Gerondale is hosting a sailing class at the Case Community Center on March 1st, and we have tweaked the junior sailing program just a little to give it more stability. There are lots of things happening at WSC to get involved in. There is at least one social event every month this season, races every weekend and junior sailor training classes every Saturday this summer. The docks will continue to be upgraded as well as the anchoring system being replaced. This will assure that we have a nice and secure place to slip our boats for another couple of decades. As we continue to bring in new members as well as young families we will have facilities that everyone can be proud to be a part of. Beach parties, raft-ups, bar-b-ques and dinners; it is going to be a full season, so I encourage you to play an active role in our sailing club. Bring out family and friends to the facilities that have been established over the past four and a half decades for us and our children to enjoy. Oh yea, and there is a lake with very few motorboats that makes for great pleasure sailing. See you on the water, Doug Lewis FROM THE TREASURER Membership renewal is in full swing with a 74% renewal rate as of February 10. See the December Windward for tips on renewing. Thanks to those who renewed early. If your renewal is postmarked after February 15th please include the appropriate late charge to help avoid additional billing expenses. We ended our fiscal year on January 31, 2012 on basically a breakeven basis. The Club costs approximately $12,000 per month to operate with the majority of the expense for direct maintenance of our facilities. Your Board is actively working to minimize costs which provide little benefit and we will terminate the telephone at the bath house effective April 1. This phone line costs almost $700 per year and with the almost universal use by members of cell phones has rendered it of little ongoing value. I write this in the second week of February, and I can't remember the last time we've had a winter this mild. Hopefully we won't get hammered later this month, but I wouldn't mind seeing a little snow. Things are going good at the Club. We have made arrangements to get the breakwater repaired, and Jack has some ideas to perhaps improve it. We'll see how it looks after the repairs. Renewals have been going well. We are ahead of schedule with people getting them paid in a timely manner. If you haven't got yours in yet and you re reading this, you re going to owe an extra 25 bucks. Don't feel too bad, everyone who is late is charged the fee. We have had some movement on the slips and moorings during renewals, and expect some more in the next month. I appreciate members moving your boats around so everyone can get in their new spots quickly and seemlessly. The BOG made a few changes in the club rules. In "Other Rules", we will delete rule #20 and add the following three rules to clear up any ambiguities. The secretary will place them in the pertinient areas of the "Club Rules" rules in the next directory. The intent of the changes are to control boats that are tied up for extended periods. We understand if you have problems with slips, trailers, hoists, etc. If you need to tie up for repairs, please let us know. We want to encourage moored and dry-sailed keelboats to use the docks on weekends. A new rule addresses dock usage for those boats. Keep in mind that all of our docks are for all members to use. 1. "Motorboats may only use the launch ramp and docks with approval of the vice commodore." 2. "During regattas, participating boats may be left tied to the docks overnight." 3. "Members boats shall not be tied to unassigned areas of the docks unless the member is on the Club premises. Boats shall not be tied to unassigned areas longer than 48 hours without prior approval of the vice commodore. Unapproved boats are subject to removal to an area off the docks." We will be experiencing some changes to the BOG soon. Kenny will be resigning from the BOG so he can take up the position of the training director. Michael Jones has been nominated by the BOG to replace Kenny as the Rear Commodore. The BOG hopes to have Michael approved at our next meeting, the Awards Party. Michael has been a member for a while and knows the Club well; plus he has plenty of talent to serve. As he works through the commodoreship he'll be a great asset for the Club. I look forward to working with him on the board. Kenny has had great interest in the training programs since before he became Rear Commodore. He remained as Rear Commodore this year in order to continue improvements. The BOG made the decision that it is in the best interests of the Club to compensate Kenny for his efforts. However, we did not feel that there should be a board member that is compensated for the job they do. That is the reason that Kenny will be stepping off the board. The Rear Commodore will still oversee the program as they always have. I feel that these changes will be positive for the Club. We are really lucky that Ken is so enthused and has made the commitment to build quality and continuity into our training programs. Lastly, it won t be long until spring. 7 Windword Page 7 Well it seems as if the gopher saw his shadow and we are in for a little longer winter than hoped for. That does not mean that there will not be plenty of activities in the meantime. As you read this, the Awards banquet has come and gone. I have to mention a few people and businesses that I owe some gratitude to for helping out. Homeland, Reasor's and Mazzio's all donated some funds towards the food for the event. Linda Horton prepared some fine King Cakes for the Mardis Gras festivities. I also need to mention a few people that helped my husband set up and clean up the location. A round of applause goes to David and Donna Williams, Yul Shaffer and Linda Horton, Sally and Darrell Daniel, Jack Stewart and Chris Gill. The event could not have happened without their help. March 1st marks a special event Windycrest is hosting at the Case Community Center. It is a free introduction to sailing seminar that is open to the general public. Grant Gerondale proposed and put this seminar together to help promote Windycrest and sailing to the public. The next time you see him thank him for the wonderful job of promoting the love of sailing. March 24th is the 2nd annual New Kids on the Dock event that Windycrest will be holding. This is a time that new and prospective members gather at the pavilion, learn their way around the club and cook a fabulous meal for those old hands at Windycrest. This year the Bard of Governors will be joining the new kids in preparing your lunch. We will be having an Italian menagerie of Spaghetti with meat sauce, vegetable spaghetti and for those that may want it, we will be offering an Alfredo selection as well. The cost for this event will be $5. We ask that you ACTIVITY CAPTAIN S REPORT New Kids on the Dock bring along a side dish or dessert fitting for our Italian offerings. Reservations will be required for this event. When making your reservations you will be asked for names of those attending and what type of boat you sail. This will give the 'New kids an idea of whom might be able to answer some of their questions and lead to some swapping of sailing experiences. During the event the new kids will tell a bit about themselves and what lead them to windycrest, as well as what they are hoping to gain from windycrest and bring to windycrest. Over the past year we have had a total of 18 new families join our group. This is your opportunity to introduce yourselves to them as well as perhaps, make some new friends. I am hoping that we shall have a few prospective members show up as well. There were quite a few that stopped by our booth at the Boat show that were interested in windycrest and learning more about us. You, the membership, is Windycrest best asset. So come out to the New Kids on the Dock and share your experiences with these new kids and prospective new kids. In April, the racing season starts with the keelboat spring series on April 15th. The social season also starts as well. We have an all club sail planned for April 28th with a Chilli supper following. This will replace the Chilli cookoff of years past. The hosts of this event will be the lower lot people along with the thistlers. Venture out and reconnect with those you may not have been in contact with over the winter months. Let's see how many boats we can get out on the water. If you have not heard I was railroaded into being fleet captain this year. I would like to thank Drew for his work as fleet captain. There were many people in attendance, those of you who could not make it missed a great time. Its not too late to participate, I still have dishes that need cleaning and some beer to drink so come on over whenever. The fleet has requested that we try to have 2 MC regattas this year. We are going to participate as a fleet in the CSSA Spring Open and try to get the Tsa-La-Gi guys to come over and race with us. We are also going to do our normal September MC Regional. I will send out dates as I get them firmed up. Several of the sailors expressed a desire to travel to some regattas. As more events become confirmed we will talk about which ones. We told the Tsa-La-Gi guys we would come to a race at their place. We collected fleet dues from Drew, Randy, Danny, Darrel, Harv, Bob, Fred, John, and myself. Let the record show that I collected $45 and deposited in into my wallet. 9 Windword Page 9 GTMYC CR-914 Racing Report The Fleet has been blessed with almost ideal racing conditions every Sunday! A stark contrast to last winter when severe cold limited our sailing weekends. We have relocated to a pond at the Tulsa Community College campus at 81st and Hwy 169. The old pond was drained when a dead body was discovered in it. All of the fleet agrees that the new location is better than the old location so we will be there for the foreseeable future. Racing has been a lot of fun this year; we have consistently seen 8 to 10 boats participating every weekend and have had visitors using our loner boat on multiple occasions. The racing has been very competitive. Newcomer Roger Adams has advanced quickly from getting lapped to being in the heart of the fleet. Racing has become very competitive with multiple skippers bagging first place finishes every weekend. Model boat sailing is a great way to advance your sailing skills. The tactics and strategy are identical to large boat racing, but piloting the boat from the shore adds a whole new perspective to your boat racing. Our longrunning charity regatta has raised nearly $1.2 million to fight this disease that has stricken many thousands of Oklahomans and changed the lives of their families and caregivers. All proceeds from our regatta relieve suffering in Oklahoma and support Oklahoma MS research programs. As sailing season unfolds, the regatta committee will be visible at social activities to welcome your participation in the main event. We invite your help with planning, sponsor your boat in the regatta, secure a corporate sponsorship, or sail for one of the regatta s consistent sponsors.
