1 EXHIBITION INFORMATION Showcase your company s products and services at NCHICA s 21 st Annual Conference & Exhibition. The conference draws attendees from our diverse membership of over 300 organizations representing the many sectors of the healthcare industry: providers, vendors, consultants, educators, professional associations and payers. The two-day conference will provide you with ample opportunities to interact with attendees at educational sessions and breaks, including 5.5 hours of events scheduled in the exhibit hall. Exhibiting at NCHICA s Annual Conference & Exhibition will maximize your trade show dollars. Tee times begin at noon, and the cost is $85 NCHICA members/$110 non-members. The tournament will be followed by dinner at the Donald Ross Grill from 6:00-8:00 pm, and the cost is $40 NCHICA members/$55 non-members. If your company is exhibiting and you d also like to sponsor a golf hole, you can take advantage of a special sponsorship fee of $400 (a $100 savings), which includes one registration for the tournament and dinner, along with a sign with your company s logo at the hole. We hope you will take advantage of this unique opportunity by completing the exhibit booth application form on page 5. Exhibit booths will be assigned on a first-come, first-served basis as payment is received, so please register early! You will be contacted in June on how to register your exhibit booth staff. Booth assignments will not be made until completed form and payment are received. No exhibitor will be allowed to set up a display booth unless paid in full. Members must be in good standing at the time of application in order to get the member rate. Payment may be made by check (payable to NCHICA) or by credit card (Visa, Master Card or American Express). For cancellations received on or before August 13, 2015, 50% of the total booth cost is refundable (90% is refundable if we are able to resell the booth). There will be no refund for cancellations received after August 13, 2015 (unless we are able to resell the booth or table, in which case 90% is refundable). 2

3 Exhibition Rules and Regulations Exhibit space will be assigned based upon receipt date of completed application and payment. All booths and tables should be fully set up before the opening of the exhibit hall. Please do not remove or disassemble display materials prior to the official closing time of the exhibit hall. Please make travel and shipping arrangements accordingly. We recommend you take any small valuables like laptops with you when leaving the booth unattended. NCHICA will provide a security guard when the hall is closed in the evenings (Sunday 6:00 pm 7:00 am Monday and Monday 6:00 pm 7:00 am Tuesday). NCHICA is not responsible for any lost or stolen materials. Exhibitors are expected to observe the rights of all other exhibitors. Excessively noisy or visually distractive displays will be adjusted to acceptable levels by show management. All other matters creating a disturbance or otherwise serving as a detriment to conference activities are subject to immediate decision by NCHICA to resolve. These rules may be amended solely by NCHICA with due consideration being given to all conference attendees and exhibitors. Pinehurst Resort Policies SHIPPING/HANDLING/STORAGE Please fill out the Vendor Shipping/Receiving Request Form on page 7. FIRE REGULATIONS All doors, openings and sprinklers must be kept clear. Exit signs, fire alarms and extinguishers must be kept visible at all times. All materials brought into Pinehurst must be nonflammable to conform to appropriate North Carolina Fire Codes. Materials not conforming to such regulations will be moved immediately at the exhibitor s expense. SAFETY All equipment, regardless of source of power, must comply with federal, state and city safety codes. LIABILITY Pinehurst is not responsible for any injury, loss or damage that may occur to the exhibitor, the exhibitor s agents, employees or property or to any other person or property prior, during or subsequent to the period covered by the exhibitor s contract, provided said injury, loss or damage is not caused by the willful negligence of an employee of Pinehurst, Inc. Each exhibitor expressly releases claims for such injury, loss or damage. INSURANCE Exhibitors who desire to carry insurance on their exhibits must carry it at their own expense. EXHIBIT HALL No pins, tacks, nails or adhesives of any kind are permitted on Pinehurst, Inc. walls, windows, doors or columns. Pinehurst Inc. must approve any tape applied to the floor. ELECTRICAL Utility outlets are not part of the booth space and are not to be utilized by exhibitors unless specified otherwise. Under no circumstances shall anyone other than Pinehurst, LLC electricians make electrical connections. Please complete the Vendor Phone/Electrical Services Order Form on page 6. 3
