3 Intrductin If yu re reading this manual, cngratulatins! Yu ve decided t take an active rle in supprt f yur sn s r daughter s lve f sprts. Managing a yuth sprts team is incredibly rewarding, educatinal, and it requires sme dedicatin and wrk n yur part. S what exactly des a team manager d? Manager s General Duties The cach s selectin f a team manager is very imprtant. A manager is respnsible fr the daily peratins f the team and serves a vital rle in supprting the caches and the philsphy f the team in rder t help maintain harmny and team spirit. The manager handles the business f the team, s that the caches are free t develp the players. Keep in mind that all activities d nt have t be handled by the team manager sme can be delegated and sme are nice t have items but are nt mandatry. The mre yu can d t keep yur team rganized and running smthly, the better everyne will be fr yur effrts. The team manager s main duties include: Serving as a liaisn between caches, parents, players, turnament fficials and thers. Attending District 10 Managers Meeting and reprting t District 10 cntact. (Squirt/10u and abve nly) Serving as the team treasurer fr team parties r miscellaneus items. Making arrangements fr games, turnaments and scrimmages. The G T persn fr the team, prviding cmmunicatins t the team thrughut the seasn. District 10 Managers Meeting (Squirt/10U and abve nly) One f the first things yu will be required t d is attend the District 10 Managers Meeting. Please nte that this is a MANDATORY meeting. As sn as the district annunces the date and time f the meeting it will be cmmunicated t yu and yur caches. At this meeting yu will: Learn abut district rules and regulatins that yur team must adhere t. Receive a cpy f the district rule bk. Learn the district cntact infrmatin fr yur team s level. Receive yur game scre sheets and ther imprtant infrmatin. Parent Meeting The first team parent meeting shuld be called sn after the team is frmed. The team meeting can be as simple as a quick 15 minute gathering befre r after a regular practice, r it can be an extra event that takes place at the arena r smene s hme. A suggested agenda shuld include the fllwing tpics: Intrductin f the caches, assistant caches and their backgrunds Philsphy Player behavir and expectatins Absences, schl/church/scial functins/family vacatins Ice time Intrductin f parents and players Intrductin f team manager Team cmmunicatins

4 Website Vlunteer expectatins (i.e. scre bk, penalty bx, lcker rm mnitr, turnaments, dibs) fr Squirt/10u and abve Verificatin that the Assciatin has all f the required dcumentatin (i.e. birth certificate, liability waivers, etc.) Obtain Address, phne and infrmatin f the parents/guardians fr: Cmmunicatin f team infrmatin (updates, schedules, turnaments) Grup text cmmunicatins Emergency Cntact Crdinating rides, etc. Turnaments Dates (if knwn) Htel infrmatin Dibs Squirts/10U and abve *See yur level manager fr assistance in setting this up in NGIN. Vlunteering pprtunities Lcker rm mnitrs, gender specific- Time keeper Screbard Penalty bx Cmmunicatin: Each team has a mailbx at CIHA Arena. Check it frequently. This is where yu will find imprtant infrmatin. Much f the material will als be distributed via . Set up an distributin and a grup text. This will help yu with cmmunicating t yur families. A grup text will help with any last minute changes that families may nt receive via . Furnish parents with a weekly that includes practice, dryland and game schedules alng with ther imprtant infrmatin such as arena lcatins, vlunteer duties, team activities, turnament inf, etc. If parents are divrced, be sure t cmmunicate with each parent. Keep parents and caches infrmed f any changes in the schedule. This may require a midweek if smething changes r a last minute text t yur families. Try t lk at the schedules daily t see if anything has changed. An and/r grup text shuld be sent t team parents t infrm them f any last minute schedule changes, rink changes, arrangements, etc. If a cmmunity has tw arenas be sure the parents knw which arena the game is being played at. Directins and phne number fr arenas can be fund at Team Web Page: Yu will be given access t edit and update yur team s pages n the CIHA website. Yu can use Sprt Ngin, Shutterfly r ther prgram. This is up t the manager. If using anther website ther than Ngin, it is recmmended that yu link yur site t the CIHA site schedule n Ngin t be sure yu have the mst current schedule. 5 Weekly cmmunicatins Cntact infrmatin fr caches and team manager Vlunteer list Turnament infrmatin (date, lcatin, htel inf) Snack Rtatin Galie Rtatin Team lgs, pictures (including team pictures) News and team infrmatin Team recrds and bk: Yu are respnsible fr the team bk which includes the fficial team rster and caching certificatin infrmatin. The bk is assembled by the registrar. This bk shuld be accessible at all times. Yu will be required t present this bt at check-in fr turnaments and may als need t prvide t fficials when requested. Handle cmpletin f team recrds and registratin fr players and caches as requested by the registrar. Yu are the cntact persn fr the team. Check yur s ften. If a player s paperwrk is nt cmpleted, they will nt be allwed t play. All team staff must cmplete a staff registratin packet. These packets are available n the website. These must be cmpleted and given t the registrar as sn as pssible. All caches must be n the Official Rster. There can be n ne n the ice r n the bench that is nt n the rster. Managers are nt allwed n the ice r the bench. Caches and managers are required t register with USA hckey and cmplete the Safe Sprt Certificatin. Prvide everyne with a list f player numbers, names and telephne numbers, a small, laminated rster with player number and name (apprximately 2 x 4 ) is helpful fr parents at the beginning f each seasn. On the back side, yu might include the names f the parents. Yu are nt allwed t cpy the rster page lcated within the Team Bk and pass ut t parents! Fr Squirts/10U and abve: yu MUST remember t bring the team bk t all turnaments. It is required as part f the registratin prcess and withut it, the team will nt be allwed t participate!! Ice Time, Games, Scrimmages, Turnaments Ice Time: Yur team will be assigned ice by CIHA at the Isanti Arena. If fr any reasn, yur team is unable t use any f these hurs, it is the Manager s respnsibility t trade them with anther team, give them t anther team, sell them t anther team, r pst them n the website fr ther teams t have the pprtunity t purchase. Yu are respnsible fr paying fr them. If yu are receiving t many hurs r need mre hurs, talk with yur Level Directr befre the next mnth s schedule is distributed. If yur team adds additinal turnaments, let yur Level Directr knw s that ice time is nt assign during a turnament. If yur team purchases additinal ice directly frm an arena, yu are respnsible fr paying fr it. It will nt be billed thrugh CIHA. CIHA will nt pay fr it if the Assciatin is billed. District games: (Squirt/10U levels and abve) At the D10 mangers meeting, yu will receive the D10 rulebk. It cntains vital infrmatin such as team respnsibilities with regard t District games, hw t reschedule games if needed, apprpriate

6 cmmunicatin guidelines when dealing with referees and where t mail game scre sheets. Understanding all f this infrmatin in critical. All managers shuld plan ahead and get yur parents signed up t wrk the scheduled games. HOME team is respnsible fr prviding a resurce t run the clck. HOME team is respnsible fr prviding a resurce t wrk a penalty bx. AWAY team brings the Scre-bk and keeps it. AWAY team is als respnsible fr having a resurce t wrk the penalty bx. Each team must als prvide a vlunteer "Gender Specific" Lcker-rm attendant t stay within earsht f lcker-rms. **NO CELL PHONES OR PHOTOGRAPH CAPABLE DEVICES ALLOWED IN LOCKER-ROOMS FOR ANY REASON** (See Lcker Rm Plicy belw) ONLY vlunteers are allwed t be in the screkeeper/penalty bx/timekeeper area. Vlunteers shuld make arrangements fr supervisin f children as they are NOT allwed in these areas. REMINDER: Vlunteers ding penalty bx, screbk and timekeeper are cnsidered minr fficials during game time and need t keep cmments and cheering t a minimum. Game Scre sheets: Each scre sheet must cntain a team rster, yur caches CEP certificate infrmatin and the head cach s signature. Yu can save a lt f time by creating team scre sheet labels t be affixed t all fur cpies f the sheets. Bth types f labels (rster and CEP numbers) can easily be printed n Avery 5163 labels. At the cnclusin f hme games, yu must mail the white cpy t the District crdinatr fr yur team level. Yur D10 crdinatr will direct yu hw ften they will want yu t d this. Yu can find crdinatr mailing inf in yur D10 bk, r n the District website. Tip: have yur cach sign the labels in advance, rather than just befre game time. Off Ice Officials: As specified in the D10 rulebk, each team is respnsible t supply wrkers fr each game. Depending n if the game is hme r away, yu will need t supply a penalty bx wrker, an fficial screkeeper r smene t run the clck. Fr all hme and away games yu must ensure that they duties are cvered. Use f the vlunteer tracker spreadsheets helps ensure ne persn isn t called n repeatedly t wrk at games. Yu might cnsider scheduling a clck and game sheet training sessin during an early seasn practice s everyne feels cmfrtable with their duties. Referee fees are paid t D10 in advance f the games and are included in registratin csts. Hwever, if yur team schedules any scrimmages where refs are present, the team must pay thse csts. Scrimmages: Team Managers may be required t assist caches in scheduling scrimmages. Sme caches prefer t d this themselves; thers prefer the manager t handle the scheduling. Check ut ther assciatins web pages t find the name/cntact inf f the current cach r team manager. Try t arrange hme and away scrimmages with the same team, that way, the ice time is a wash. If this isn t pssible the hurly rate at the arena yu are playing at is divided in half. Recnfirm yur scrimmage at least a day ahead f time. NOTE (Squirt/10U levels and abve): District 10 nly allws each team a certain amunt f games that can be played per seasn. Be careful hw many scrimmages yu have. Als, yu will be respnsible fr btaining fficials fr the scrimmage. See yur D10 handbk fr details. If yu have a shared practice with anther team that is within District 10, it will nt cunt as a game. Turnaments: Mite levels: Help crdinate the Mite Jambree in March. Parent vlunteers are very imprtant t hld this event. Squirt/10U and abve: Yu will need t each turnament crdinatr early in the seasn and prvide them yur cntact infrmatin. Typically, the crdinatr will then yu three t fur weeks in advance

7 f the turnament date t request yur team rster. Mst likely, yu will receive a rster frm that needs t be cmpleted and returned by a specific date. Yu may als receive t-shirt rder frms and ther infrmatin that shuld be shared with yur parents. (i.e. turnament rules). Out f twn turnaments: Out f twn turnaments can require a little mre planning. Once yu receive yur turnament infrmatin frm the Turnament Directr, yu will want t bk a blck f rms at a nearby htel. In mst instances, the Turnament Directr will already have bked the blck fr yur team. In that case, yu will just need t call the htel and change the cntact infrmatin t yur infrmatin. Usually, all yu will need t d is bk the blck f rms under yur team s name and each family will call t reserve a rm with their persnal credit card. Yu shuld nt have t put dwn any payment. The htel will generally release any unused rms a week r tw befre the turnament. On the rare ccasin, htels may require advance depsits frm parents. Htels may require players/families t sign special cnduct frms. When required, yur htel cntact will prvide them. Yu need t crdinate getting the infrmatin t the parents, and reminding them t send them in. Depending n the age f the team yu manage, yu may want t cnsider a planned team activity fr ut f twn events. Team dinners r pt lucks, team uting ther activities are great ways t pass the time and help the team/ parents bnd. Cnsider creating sme kind f item that can be placed n the htel rm dr t identify yur team members. Plan t arrive at least 1 hur prir t yur first turnament game s yu can register the team. Sme turnaments will specify check in times. Verify the expectatin with the turnament crdinatr if check in isn t nted in the rules dcument yu receive. Mst turnaments will supply sme type f player r parent gift (hat, lapel pin, etc.). Hand ut the items t yur team r parents as needed. If yur players have last names that are difficult t prnunce, share the crrect prnunciatin with the annuncer prir t the game. If the turnament hst has rganized functins fr the visiting teams (buffets, happy hur, etc.) encurage yur players and parents t attend. Find ut the hurs and the lcatin f the skate-sharpening services. Remind parents and players that they are representing Cambridge Isanti Hckey and need t act apprpriately, n and ff the ice and that they are respnsible fr the behavir f their family and any players they are chaperning fr the weekend. Miscnduct: Year End Party Miscnduct by a player: Caches will address any miscnduct issues directly with the player. Miscnduct by a cach: Level Directr will address any caching miscnduct issues. Miscnduct by a parent: Caches and/r level directr will address any parent miscnduct issues. Miscnduct issues that are unreslved will fllw the escalatin prcess established by the CIHA Bard. All cmplaints shuld first by cmmunicate via with the apprpriate meetings t fllw. Althugh the year end party may seem like a lng way away, it s never t early t begin planning! Yu shuld begin by selecting a date and what the team wants t d near the beginning f December. There will always be peple that can t make the date, r want t d a specific thing. It s bviusly mst imprtant that the team caches and manager are able t make the party, and they can decide what t d fr an activity. Once yu reserve yur party date and lcatin, ther planning activities can wait until later.

8 Sme examples f places t hld the year end party are: Rent the Isanti Ice Arena Rller Rink Bwling Alley Highschl Pl Highschl Gym (flr hckey/ddgeball) A Family s Hme Year-end Team Bk Turn-in: Managers will be required t return all team bks in March/April. The date, time and place fr this return is yet t be determined. Spnsrship: T ffset sme expenses, spnsrs can be fund t help pay fr sme team csts. The spnsrship mney ges twards the team r what the spnsr wishes t dnate. Spnsrs have cvered turnaments and apparel as sme examples. The assciatin prefers that the players help find the spnsrs. They can be family wned businesses r ther acquaintances. The spnsrship frms are attached. Please make sure that deadlines are fllwed. If the deadline is missed, this delays jersey s being rdered and the spnsr name may nt get n the jersey befre the first game. Fundraising: We d tw fundraisers each year. They are vluntary and players can participate in whichever they chse. These fundraisers are used t help ffset any expenses fr each player. The mney raised ges t the individual s accunt, nt the team. Mney that they raise is credited t the player s accunt, s next year they will have a credit t their accunt. If they chse nt t play the next year, the treasurer will issue a refund. Further Assistance: This manual prvides yu with a place t start as yu begin yur team manager duties. Unique situatins may require assistance frm an experienced manager r yur level s directr. Shuld yu encunter a situatin that is nt discussed in this manual, please cntact yur manager directr r level crdinatr. Bard Members and Other Cntacts: Lcker Rm Plicy: CIHA has predictable and limited use f lcker rms and changing areas (e.g., generally minutes befre and fllwing practices and games). This allws fr direct and regular mnitring f lcker rm areas. While cnstant mnitring inside f lcker rms and changing areas might be the mst effective way t prevent prblems, we understand that this wuld likely make sme players uncmfrtable and may even place ur staff at risk fr unwarranted suspicin. Any individual meetings between players and a cach r ther adult in a lcker rm shall require that a secnd respnsible (preferably gender apprpriate) adult is present. The respnsible adult that mnitrs and supervises the lcker rm shall have been screened in cmpliance with MN Hckey rules. Lcker rm mnitring may be prvided by caches. The lcker rm mnitr des nt need t be in the lcker rm but must be immediately utside the dr t make peridic checks, mnitr

9 access, and respnd t situatins in the lcker rm as the might arise. Parents in Lcker Rms Except fr players at the mite/8u levels, we discurage parents frm entering lcker rms unless it is truly necessary. If a player needs assistance with his r her unifrm r gear, if the player is r may be injured, r a player s disability warrants assistance, then we ask that parents let the cach knw befrehand that he r she will be helping the player. Naturally, with ur yungest age grups it is necessary fr parents t assist the players getting dressed. We encurage parents t teach their players as yung as pssible hw t get dressed s that players will learn as early as pssible hw t get dressed independently. In circumstances where parents are permitted in the lcker rm, caches are permitted t ask that the parents leave fr a shrt time befre the game and fr a shrt time after the game s that the caches may address the players. As players get lder, the cach may in his r her discretin prhibit parents frm a lcker rm. Mixed Gender Teams Sme f ur teams cnsist f bth male and female players. It is imprtant that the privacy rights f all f ur players are given cnsideratin and apprpriate arrangements made. Where pssible, CIHA will have the male and female players dress/undress in separate lcker rms and then cnvene in a single lcker rm befre the game r team meeting. Once the game r practice is finished, the players may cme t ne lcker rm fr a team meeting and then the male and female players prceed t their separate lcker rms, if available. If separate lcker rms are nt available, then the players will take turns using the lcker rm t change. We understand that these arrangements may require that players arrive earlier r leave later t dress, but believe that this is the mst reasnable way t accmmdate and respect all f ur players. Fr Mite, 8U, and Intr levels it is allwed fr parents f bth genders t assist the player with getting equipment n and ff befre and after games r practices. Since these lcker rms are usually c-ed the level f player undress shall be n less than lng underwear r similar, gym shrts, r t-shirt. Cell Phnes and Other Mbile Recrding Devices Cell phnes and ther mbile devices with recrding capabilities, including vice recrding, still cameras and vide cameras, are nt permitted t be used in the lcker rms. If phnes r ther mbile devices must be used, they shuld be taken utside f the lcker rm. Prhibited Cnduct and Reprting CIHA prhibits all types f physical abuse, sexual abuse, emtinal abuse, bullying, threats, harassment and hazing, all as described in the USA Hckey SafeSprt Handbk. Participants, emplyees r vlunteers in CIHA may be subject t disciplinary actin fr vilatin f these lcker rm plicies r fr engaging in any miscnduct r abuse r that vilates the USA Hckey SafeSprt Plicies.
