1 Cach/Manager Guideline DEVON MINOR HOCKEY ASSOCIATION Cach/Manager Guideline This guideline is intended t prvide infrmatin f use t caches and managers f Devn Minr Hckey Assciatin (DMHA) teams. Included are sectins dealing with day t day activities, DMHA prcedures, as well as relevant Hckey Alberta regulatins and requirements. Caches and Managers are still respnsible t be aware f league rules, Hckey Alberta bylaws & regulatins and DMHA plicy and prcedures that may nt be cvered within this guideline (HA regulatins & DMHA plicy & prcedures, can be fund n DMHA website). 2 Cach/Manager Guideline COACHES/MANAGER RESPONSIBILITIES Cach Head Cach is such a visible and prminent representative f the assciatin, yu will be held t a higher standard than mst. This is primarily due t the respnsibility f what a head cach has t their team and the assciatin (bth gd and bad behavir will have effects n thse arund yu). Respnsibilities f a Head Cach: Adhere t DMHA s plicies and prcedures, league rules, Hckey Alberta Bylaws, DMHA s addendum. D yur best t ensure that yur team envirnment is nt nly fun and exciting fr all but is always psitive. Ensure prper supervisin f the team befre, during, and after all games and practices and accept respnsibility fr the cnduct, safety and well-being f players. Develp a set f rules fr the team, which are clearly cmmunicated and enfrced equally amngst all players, parents and bench staff. Cmmit t cntinuing educatin t enhance the DMHA prgram by participating in DMHA learning pprtunities at the cach seminars and Hckey Alberta Clinics. Prmte t yur team fair pprtunities t play, learn and receive instructin. Ensure that yur team fllws facility rules and d nt harm r deface any prperty. Review the DMHA cde f cnduct with parent and players n the team, ensuring all players & parents understand these frms. Manager The team manager, wh is very ften a prminent representative and leader fr team, is respnsible fr verseeing all administrative duties assciated with the team and as such als needs t mdel the upmst psitive behavirs. The team manager is the central figure in creating the flw f cmmunicatin nt nly within the team (players, parents and bench staff), but between the team and all supprt systems such as the Minr Hckey Assciatin, Divisin Directr, League Representatives, ther teams, referees, fficials, etc. Ultimately, the team manager is respnsible fr ensuring all the ff-ice tasks are cmpleted. This des nt mean that the manager must d it all; he r she needs t make sure that it gets dne via delegatin. 3 Cach/Manager Guideline By taking n the peratinal aspect f the team, the manager enables the cach t fcus n player develpment and n-ice instructin t prvide the players with rewarding hckey experiences. Respnsibilities f a Team Manager include: Team budget and financial statements. Preparing, submitting and retaining cpies f all team permits. Assigning vlunteer psitins n the team. Pickup, prper care f, and returning f DMHA jerseys. Preparing and submitting affiliatin requests. Ensuring all suspensins are prperly reprted and served. Assisting with any player r parent cnflict reslutins. Cllectin f Medical Frms, and ensuring medical frms & blank injury reprts are n hand at all games. Purchasing and selling f team ice. Cnfirmatin f game schedule with LMHA ice schedule. Cnfirmatin f game referees with LMHA ref assignr. Cmmunicate with team parents and assist the cach with any requests Manage the team app/devn website with infrmatin applicable t the team Fcal pint with 1660 including submissin f game sheets and cmmunicatins with league representatives uphld all League duties as utlined by the League Rules and Regulatins. Arrange exhibitin games, away turnaments/accmmdatins Participate n turnament cmmittee fr hme turnament Arrange team functins Team Liaisn The primary rle f a Parent Liaisn is t act as a pint f cntact between players and caching staff and between parents and caching staff. The Parent Liaisn is t be impartial and act in the best interest f the players and the team as a whle. Their rle is t cmmunicate with the caching staff any cncerns r questins brught frth by players and/r parents. If warranted a meeting f parties will ccur and the liaisn will act as chair, and will mediate between the tw parties and try t find a 3 P a g e 9/07/2017

5 Cach/Manager Guideline TEAM INFORMATION Team Meetings Team meetings are essential in the develpment f frmal cmmunicatin amngst a team and they encurage participatin frm all members. An initial meeting shuld be set up shrtly fllwing the frmatin f the team fr many this will be the first time. they meet ther players, parents, and caching staff. Ideally, the manager shuld be in place befre the initial team meeting, which shuld als discuss the seasnal plans and preliminary budget. This helps t ensure that all parents understand the cmmitment, bth time and financial (including turnaments), up-frnt and befre the seasn cmmences. Als, the imprtance f a qualified Treasurer shuld be nted and team rules and safety shuld be intrduced fr discussin. There is much infrmatin t discuss at the beginning f the seasn, s it is up t the Team Manager t lead this meeting ensuring that the grup stays n tpic and des nt exceed any time restrictins. Be sure that minutes frm the initial meeting are taken and distributed t parents by . These minutes may be useful when dealing with disputes r cncerns later in the seasn. As well, ut any frms that were discussed at the meeting. Having infrmatin in electrnic frm fr parents t refer t will assist with the retaining f dates and details. Once the first parent meeting has taken place, team meetings can be set based n the team s need and desire fr mre meetings. Many sub-cmmittees will frm fllwing the first meeting as well. Every Team Manager must delegate, it wuld be virtually impssible t perfrm all tasks alne. Hwever, the Team Manager shuld be aware f r invlved in the peratins f these sub-cmmittees and shuld pass alng updates t the rest f the team. Shuld a vlunteer nt carry thrugh with their tasks, this supervisin and mnitring will ensure the prblem is caught early n and dealt with based n team plicy. Many f the duties cvered in this guideline will be carried ut by the parent vlunteers and nt directly by the Team Manager. 6 Cach/Manager Guideline Vlunteer Psitins n a Team (a gd rule f thumb is that each family shuld take n at least ne rle, these are suggestins, a team can add r delete psitins as they determine) Treasurer (required psitin) Turnament (turnaments fr the team t attend) Fundraiser Jersey Parent (ne fr the hme jersey s and ne fr away jersey s) Game Day Crdinatr (scheduling timekeepers, screkeepers, gatekeepers fr games) See Appendix A fr further infrmatin Scial Events Crdinatr Website Crdinatr Team Safety Crdinatr Team Budget The team budget shuld be rganized between the cach, manager, and treasurer (if available prir t the first team meeting). The team budget must have the apprval f the team parents and the parents shuld have an pprtunity t amend the budget. The final budget must be vted n and apprved by a majrity f parents (suggested minimum f 75% apprval). A bank accunt must be pened fr the team. The bank accunt must have dual signing authrity. The tw signing authrities fr the team shuld be team manager and team treasurer, at n time are bank cards t be issued and used n the accunt. The team minute meetings shuld state the name f the bank accunt, wh is t have signing authrity and that dual signatures are required fr all transactins (the bank will require the minutes t pen the accunt). The team treasurer with assistance frm the team manager must retain all receipts f team revenues and expenditures and prvide financial updates t the team parents thrughut the seasn (it is suggested at least every tw mnths each family receives and update n their accunt nly). The treasurer shuld als ensure that the team fundraising initiatives are rganized and cmply with the team budget, guidelines and plicies f DMHA. Team fundraising is nt t exceed the raising f funds abve what is required fr team expenses. Items that may be included in the budget: Turnament Csts 6 P a g e 9/07/2017

Team Accunts A team accunt shuld be set up at the beginning f the seasn with a recgnized Canadian Financial Institutin. Many institutins have special team/rganizatin/sciety accunts with reasnable service charges (smetimes nne) that the team shuld cnsider when selecting an accunt. When wrking with a team accunt it is especially imprtant t implement numerus checks and balances t ensure that the funds are managed based n the teams agreed upn budget, and t ensure that funds are in n way misapprpriated. Checks and Balances include: Ensure that the accunt requires tw signatures. Generally, the signature f the Treasurer and the manager r parent. The tw individuals (and any thers that have signing authrity) shuld nt have a persnal relatinship r cnnectin utside f the team. This separatin f duties means that n single persn is respnsible fr a transactin frm start t finish. The Team Manager shuld receive a cpy f the accunt s mnthly statement and any parent n the team has the right t ask financial questins r request t see the accunt at any time as it is their mney in the accunt. Any unfreseen expenses that may arise shuld be discussed with the parents befre any transactin takes place. 7 P a g e 9/07/2017
8 Cach/Manager Guideline Ensure receipts are btained r a cpy prvided fr all transactins that take place. In general receipts, shuld be numbered fr easy tracking and shuld cntain the fllwing infrmatin: Date f transactin Service rendered/purpse f payment Cmpany wing payment Cmpany receiving payment Signature f individual accepting payment Amunt Frm f payment When writing a cheque, the descriptin line shuld always be filled ut; and, if ne is available write the invice number n the cheque. When selecting an accunt type, the team may want t select an accunt that will include either a cpy r the riginal cheques prcessed with the mnthly statement s that these ntes are available fr justificatin. When rganizing a team, accunt DO NOT: Set up r allw the use f debit cards n the accunt Write cheques made ut t cash Each Team Treasurer shuld prvide a statement n an individual player basis t each parent n a bi-mnthly basis. The statement needs t shw seed mney, fundraising and expenses fr the individual At the end f the seasn a full spreadsheet f every family s revenue and csts must be shwn t the parents n the team and signed ff that they agree with the balances in every member s accunt as stated. Team Bill Each mnth the teams will receive a team bill frm the Treasurer. The team bill will summarize what the team has used t date as per what the registratin fees cver (i.e. ice usage, referee csts, league fees, Prvincial registratin csts). When the team bill is received, it shuld be reviewed fr accuracy. Any discrepancies need t be frwarded t the Treasurer within 30days f receipt f the bill, any discrepancies nticed ver 30 days will nt be adjusted. Every mnth when the team bill is frwarded it will be an accumulatin f the csts. A team can prject what their final bill may be adjusting the ice usage and game ttals n the spreadsheet. (ie n the secnd page is the summary f ice usage each mnth (hme games and practice ice), by putting in what 8 P a g e 9/07/2017

It is advised that the team manager/treasurer keep up t day n what has been used and is still t be used s that they can make sure they have enugh in their team fund t cver any extra csts and keep the parents up t date f any additinal csts t the team. Team Frms (mst frms can be fund under the Manager Prtal Manager Frms & Dcumentatin Tab n DMHA website, if yu cannt find a frm please cntact the Level Crdinatr): Hckey Alberta Medical Frm this frm must be cmpleted fr each player n the team and retained in a binder with the manager at all games. Hckey Canada Injury Reprt Frms the manager shuld always have n hand blank cpies f this frm t give t any player at the time f the injury in the event they must see a dctr regarding the injury). CHA Insurance cverage infrmatin can be fund under Manager Prtal Manager Frms & Dcumentatin. Frms must be submitted t Hckey Alberta within 90 days f the incident. Recrd Keeping/Distributin The Team Manager is the keeper f the team s persnal infrmatin. Because ne never knws when a specific piece f infrmatin is needed, it is a gd idea fr the Team Manager t create a binder f frms and handuts that can be taken t meetings, games, etc. and t keep data easily accessible. Dcumentatin must be cmpleted fllwing all games as well, and it is a gd idea t have extra frms n hand. The Team Manager will want t becme familiar with hckey terminlgy and acrnyms t aid in reading and filling ut frms prperly. 10 Cach/Manager Guideline EQUIPMENT At the beginning f each hckey year, all teams will be issued the fllwing: Game Jersey s (hme & away), except fr Initiatin they will receive nly ne set f jersey s, alng with Jersey bag(s) Pylns Pucks & Puck bag Medical Kit Set f galie equipment fr Divisins Atm and lwer The team is respnsible fr the care and maintenance f all equipment fr the duratin f the hckey seasn. Sme ntes t keep in mind abut the team equipment: It is highly recmmended that the persn respnsible fr the equipment visually inspect all equipment prir t receiving it and reprt any anmalies that may be present during that inspectin. Once the equipment has been taken, the team will be held accuntable fr any issues with the equipment and any repairs r replacement csts will fall slely n the team. The team that is signing ut the equipment will be required t fill ut a frm with their cntact infrmatin (name, team name, team number, phne n.) Any damage incurred t the equipment must be reprted t the Equipment Directr immediately All lst r stlen equipment must be reprted t the Equipment Directr immediately Game Jersey s and hckey scks (hme r away) are t be used fr hckey games nly. Players shuld nt be wearing the game jerseys fr practices r be taking hme their jersey s. Each player is t have his r her wn water bttle that they bring t practices and games that is well marked with their name. Sharing f water bttles is ne f the easiest ways fr a team t spread germs and illnesses amng themselves and; therefre, shuld be avided fr health reasns. All equipment mentined abve must be returned t the Equipment Manager at the cmpletin f the hckey seasn and in its entirety. The nly exceptin is the hckey scks, which can remain with the player. Jersey Cleaning and Care Jersey s shuld be cleaned and inspected n a regular basis. This will ensure that the jerseys will perfrm as expected and meet r exceed their life cycle, as per DMHA. 11 Cach/Manager Guideline shuld jerseys be cleaned with bleach r dried in a cnventinal dryer (disclratin and deteriratin will ccur) and the cst t replace will fall directly t the team that it is assigned t. Jerseys are t be washed inside ut and hung t dry. 11 P a g e 9/07/2017
12 Cach/Manager Guideline TEAM ROSTERS Once a team is frmed the registrar/administratr will cmplete all the required paperwrk t register the player and bench staff with Hckey Alberta. A Hckey Canada Registry (HCR) Rster will be prvided t the Manager frm the Registrar nce registratin has been cmpleted (nly players and bench staff n the HCR rster are allwed n the ice r bench at any time during the seasn n exceptins). Teams must be in pssessin f their HCR rsters befre any league, turnament r exhibitin games transpire. It is advised that the manager frward a cpy f the HCR Rster t the cach/assistant caches each time that they receive an updated rster, s that they have a cpy with them als. Anytime that a player/bench staff is added r remved frm a team a new HCR Rster will be issued. The Manager is t review the infrmatin n the rster with the parents and bench staff t ensure accuracy when they first receive it. All players nt registered prperly are cnsidered ineligible players and suspensins t the Head Cach can be assessed. In Nvember, all teams will be reviewed by the zne, nce a team is reviewed by the zne nly players and bench staff that have apprved n the HCR rster will be allwed n the ice r bench (any player r bench staff nt apprved will need t clear up any issues befre they will be apprved and allwed t cmmence with the team). Any player r bench staff that is released frm the team will have a released date n the HCR rster (far right hand side) and are nt part f the team r bench staff (they are cnsidered an ineligible player/bench staff fr the team). Team Affiliatin Affiliatin was created t prvide relief t teams as needed (e.g. player illness, injury r suspensin). Prper affiliatin is the respnsibility f the team and must adhere t all DMHA, League and HA plicies. At the end f the playing seasn, affiliatins cease t be recgnized. Affiliates must cme frm a lwer categry and must be frm the same Minr Hckey Assciatin. A player can nly be affiliated t ne team, nce they have signed the affiliatin request frm and have been added t a rster they cannt be remved. An affiliate may be brught up t play with his affiliated team fr practices at any time during the seasn, hwever they are nly allwed t play 10 games with their affiliated team (games nly cver league/playffs/prvincials they d nt include turnaments r exhibitin games) during the seasn. After the tenth game the affiliated player will nt be allwed t participate in any sanctined games with the higher team, except if the players team is finalized fr the seasn. Suspensins will be handed t the Head Cach fr any affiliated player playing mre than 10 games in a seasn. Affiliates must be marked n the game sheet with an AP beside their names. Affiliatin Recmmendatins: Please refer t the flw chart under manager-misc. frms & infrmatin as t the timeline fr teams t affiliate and the divisin affiliatin is allwed frm. 12 P a g e 9/07/2017
13 Cach/Manager Guideline It is strngly recmmended that affiliated players are used in practices thrughut the year t prmte player develpment and help the player transitin n the team if they are called upn t play in a game Teams shuld affiliate frm tw different teams t avid ptential game cnflicts if a player is required. Selectin Prcedure fr Affiliatin: The highest level in each divisin has first chice f affiliates within their divisin and the tp team in the next lwer divisin. A timeline can be fund under the Manager Prtal as t when a team is t cmmence with their affiliatins. Each team will be given at least ne week t cmplete their initiatin affiliatins after which time the next team belw will start. Once a team has cmmenced their affiliatin, they can have added up until Dec 10, hwever players nt requested within their time may n lnger be available if anther team has started their affiliatin prcess and submitted a signed frm t the President. T initiatin the affiliatin prcess, each cach shuld submit a list f desired affiliate player s names t their team manager, the team manager will then cmmunicate with the player s team manager t arrange fr the affiliatin frms t be cmpleted. When a manager receives a request fr affiliates they shuld first advise the cach f the requested affiliates and then btain signatures frm the parent and player fr permissin fr the player t be affiliated. Once this is cmpleted the frm with the signatures shuld be ed t the Registrar and the DMHA Level Crdinatr f the affiliated player and the manager that requested the affiliatin cc d (this way all parties are aware that the affiliatin frms have been submitted in a timely manner). An updated HCR rster shwing the player as an affiliate added t the team is required befre the player can practice with the affiliated team, and nly nce the player has Apprved by their name n the team HCR Rster are they allwed t play in any games with the affiliated team. Managers shuld make sure the player understands that by agreeing t be an affiliate if they are called up t play they cannt at that pint decline the request, except fr unfreseen circumstances (i.e. suspensin, medical etc.). Use f an Affiliated Player: **ONCE A PLAYER IS AFFILIATED TO A TEAM THEY CANNOT BE REMOVED** If a team wishes t use an affiliated player, the manager is required t call the affiliated players head cach/manager t ensure there is nt a cnflict with team events If there is n cnflict, the head cach/manager f the requesting team can call the player and invite them t attend a game r practice. 13 P a g e 9/07/2017
14 Cach/Manager Guideline If there is a cnflict, the tw caches need t discuss and decide if there are ther ptins (ie are bth games f equal imprtance; league vs. exhibitin game, is the request f the affiliate due t insufficient player numbers n the affiliate team - 15 r less players available n the team fr the game). If an agreement cannt be reached by the tw head caches than a call must be made t the divisinal directr and they will decide. It is strngly recmmended that all affiliated players are used during practices thrughut the seasn t prmte player develpment 14 P a g e 9/07/2017
15 Cach/Manager Guideline CERTIFICATION Cach Certificatin rules and regulatins can be lcated n DMHA s website under the Caches Hub. When the initial HCR rster is sent t the team, the Head Cach will be advised f any curse he requires, at this pint he must within 2 weeks his cnfirmatin that he has signed up fr the curse required t the Hckey Develpment Directr) All Certificatins required fr each level are t be cmpleted by Nvember 15 f the current seasn. All teams must have the apprpriate cach certificatin n their team rster by Hckey Alberta s deadline; failure t achieve prper certificatin fr the team level may result in the team suspensin fr the remainder f the seasn. Safety Prgram All Hckey Alberta teams must have ne (1) persn registered t their team that has cmpleted the Safety Prgram and be at all games It is recmmended t have at least tw bench staff registered t their team has the Safety Prgram t ensure smene with the prgram is at each game This prgram is valid fr a perid f three (3) hckey seasns frm the date f the clinic attended t August 1 f the 3rd hckey seasn Respect in Sprts Cach Prgram All bench staff must have cmpleted the Respect in Sprts Cach Prgram r Speak Out Prgram befre they will be registered t a team and allwed n the ice 15 P a g e 9/07/2017
16 Cach/Manager Guideline PRACTICE/GAME SCHEDULE The Team Manager in c-rdinatin with the Head Cach and the Assciatin shuld update the team hme page with all practices and games (when entering the infrmatin, please click the bx team fr the dates and times t be frwarded t the families each time they are entered). Schedules d change n shrt ntice and s smetimes get lst in spam, s please keep yur team calendar up t date with any team events, and remind parents t als check the team page fr any updates r ntices. Game reprt/game sheet Fllwing each game the hme team is required t submit the results f the game t their league. Each league has a different prcedure fr hw they handle this, please make sure befre yur league games start yu are aware f hw game results are t be frwarded. All game sheets are t be signed by the referees and bth teams. 17 Cach/Manager Guideline Penalties: All games, bth stp and runtime 2 minutes minr, 3 minutes fr running time Game fficials hme team will supply ne game fficial as fllws, except where leagues therwise stipulate Screkeeper Timekeeper 2 Player Bx Keepers Player Bx Maximum f 5 team fficials allwed in the player bx at any given time. All league and playff game scheduled will take precedence ver all ther cmmitments, except fr Prvincials, which take precedence ver all ther games. Suspensins Hckey Alberta mnitrs all suspensins incurred in exhibitin, turnament, prvincial r Hckey Alberta sanctined events. Leagues mnitr all suspensins incurred in league/playff games. All suspendable infractins incurred in exhibitin, turnament, prvincial, Hckey Alberta sanctined events must be ed t the zne designate within 24 hurs f the infractin ccurring, and cc d t the President When a suspensin is incurred it must be served in the next cnsecutive game (exhibitin games d nt cunt as suspended games, and players cannt play exhibitin games until their suspensin has been served) Any player incurring a suspendable infractin with either their registered team r affiliated team is suspended frm all hckey games until the suspensin is served with the team they are registered with. If that team is finished hckey fr the seasn, this player wuld be allwed t serve such suspensins with their affiliated team. The player and the suspensin must be listed n game sheets When a suspensin is issued by the zne, game sheets shwing the suspensin being served must be ed t the President When a suspensin is issued, the ntice will specify the number f games t serve, and type f games the suspensin can be served in N suspended player r team fficial is allwed n the bench, in the timekeepers/penalty bx, dressing rm and within fifty (50) feet f the player s benches during a game 17 P a g e 9/07/2017
18 Cach/Manager Guideline Suspended player/bench staff must be nted n the game sheet during the games cmprising the suspensin Organizing Games Fr a game t run smthly and fllw all regulatins, the Team Manager must nt nly mnitr what is happening during the game, but they must put in time prir t each game t ensure all psitins are staffed. 19 Cach/Manager Guideline ICE COORDINATION Distributin f Practice Ice The DMHA Ice Assignr will distribute practice ice t the team as far in advance as pssible. At certain times in the seasn, ice distributin is nt available well in advance. These times include the beginning f a new rund f play, during prvincial play dwns, and during league playffs. DMHA receives ice slts frm the Twn f Devn that are cnsidered undesirable such as 6:45AM n weekends, 4:15 pm and after 10:00 pm n weekdays. Divisins are assigned these times based n the apprpriateness f their age grup. Midgets will receive practice ice times frm 9:30 nward, Initiatin will receive the 6:45 am & yunger grups/rep teams the 4:15 pm ice times. Teams in each divisin will evenly share these nn-prime time ice slts. N Shw and Return Ice Plicy If an ice slt allcated t DMHA frm the twn and is nt used, it is cnsidered a N Shw. DMHA pays fr all allcated ice, whether it is used r nt, but N Shw ice results in an additinal fine frm the twn and lse f ice allcatins fr the next seasn. Shuld a team nt shw fr a scheduled practice r game and the ice is nt used, the team will be charged the 15% N Shw fee. If the ice schedule is upladed t the DMHA with practices befre league ice has been released, nce the league ice has been received, any cnflict f practices with league games will be changed by the ice scheduler fr the team at that time. If a team des nt want the ice allcated t them, it is then their respnsibility t either sell r trade the ice s that it des nt sit empty. All changes t any ice slts (whether practice r game), must be frwarded t the Ice Crdinatr, all crrespnding team manager s that are affected with the ice slt must be cc d n the . Rescheduling f a league game will nt be apprved by DMHA unless ice has been fund fr the rescheduled game. 20 Cach/Manager Guideline Find the facility staff and ask them t lk at the city master schedule t determine which user grup has the ice. The arena staff s decisin is final. DMHA has a zertlerance plicy twards caches arguing the arena staff. If the arena staff says that the ice is nt DMHA ice, then the team will leave the dressing rm area immediately and the head cach will refer t the ice schedule n DMHA website t ensure the team is at the right venue and has the right start time If the cach cnfirms they have been assigned the ice, they will cntact the Ice Crdinatr by fr a reslutin if necessary. In the event tw r mre hckey teams shw up t use the same ice at the same venue the DMHA team s head cach r their designate (ONE persn frm the team staff) will: Refer t the ice schedule n the DMHA website t ensure the team(s) are at the right venue and have the right start time If the cach cnfirms his team has been assigned the ice, they will cntact the Ice Assignr fr a reslutin if necessary. 21 Cach/Manager Guideline REFEREES League/Playff Games DMHA arranges referees fr all league/exhibitin and playff games played n DMHA hme arenas. Fr exhibitin games, nce they have been apprved by the Registrar an will be sent t the Referee Assignr t bk the refs and the manager f the team cc d. Referee cancellatin must be dne prir t 72 hur ntice therwise yur team will still be charged fr the refs regardless if yu use them r nt. When yu are cancelling, r bking refs if yu d nt receive a cnfirmatin that the request was received and the refs bked, after the request has been sent, please cntact the referee assignr All referee csts fr DMHA teams are paid directly t the ref by DMHA and added t their team bill Exhibitin Games & Prvincial play dwn Games teams will pay the refs cash based n the amunt stated by the referee assignr when the refs are cnfirmed 21 P a g e 9/07/2017
22 Cach/Manager Guideline PERMITS During the seasn the team may decide t take part in turnaments r exhibitin games. The Team Manager can create a turnament crdinatr t be respnsible t search ut and apply fr turnaments respectively. Permits need t be applied fr by cmpleting the apprpriate frm under the Manager Prtal. A permit request will be required fr ALL exhibitin & turnament games a team partakes in. Permits require a cuple f days fr apprval, s apply fr them as sn as pssible, a permit can always be cancelled if nt required. Permits requested n Friday mrning fr the upcming weekend will nt be apprved due t the time cnstraints. All Hckey Alberta sanctined teams MUST be in pssessin f a Permit when travelling utside the zne. It is recmmended t bring a hard cpy f the actual travel permit as mst assciatins will request a cpy. When Traveling utside f the prvince the actual Permit must be carried with the team at all times. Apprval fr ut f prvince turnaments may require mre time t be apprved. A Permit number must be recrded n each game sheet. All Permits that have a match penalty r penalty resulting in a suspensin write up must be ed t Zne 4 s Discipline Cmmittee When a permit has been issued a game sheet is required t be submitted t the Registrar by within 24 hurs after the event Teams must als ensure that their ppnent has the apprpriate permit if required and that the permit number is placed n the game sheet. If the Cach/Manager cannt cnfirm if the ppsing team has the prper dcumentatin, then THE GAME MUST NOT BE PLAYED! Failure t fllw the abve nted rules will result in the fllwing penalties. Each team is entitled t a team micrsite, and are encuraged t use them. The site shuld be used t pst games and practice schedules, infrmatin abut upcming team functins, cntact infrmatin fr team fficials, and mre. The Cach will be given the lgin in and passwrd fr their site when the team is registered and the HCR rster frwarded at the beginning f the seasn, they are t frward this infrmatin t the manager. If yu are nt using DMHA team micr site, please ensure that the link t the micrsite yu are using is listed n DMHA team micrsite. Team micrsites will be mnitred frm time t time, and any infrmatin deemed inapprpriate r cntrary t the gals f DMHA will be remved. Please nte advertisement fr hckey camps, etc. are nt t be frwarded t members n yur team r listed n yur team micrsite. DMHA adheres t a strict cnflict reslutin prtcl. On a team level, all effrts shuld be made t deal with any cnflict in an adult manner, using apprpriate means f cmmunicatin. Team cncerns shuld be address t the Manager r Team Lliaisn, wh shuld facilitate any required meetings between the bench staff and the parent and/r player (discussins f the meeting shuld be recrded). If a reslutin cannt be reached, then the next level wuld be t take thse cncerns t the Level Crdinatr. Apprpriate cmmunicatin wuld be t phne, , r cnfer face t face with the individual t address the cncern. It is inapprpriate t use a reply all , Twitter, Facebk, r ther scial media t reslve a cnflict. Hckey is a cmpetitive sprt, there are times when an issue cannt be reslved at a team level, r when an incident f a severe nature ccurs. The DMHA Discipline Cmmittee will cnvene when necessary t address vilatins f behavir guidelines plicies, bylaws, r prcedures. Allegatins frm n DMHA member twards anther must be submitted in writing n the Incident Reprt Frm and frwarded t the President. The DMHA Executive takes these issues seriusly and will take all necessary steps t cme t an expedient reslutin. Reprting Injuries If an injury ccurs t a player, team fficials, spectatr, r any ther persn, as the result f a sanctined hckey activity, an Injury Reprt Frm must be cmpleted and frward t DMHA and Hckey Alberta. By cmpleting and submitting the Injury Reprt frm, the player s family is ptentially eligible fr an insurance claim thrugh the CHA Insurance prgram. This insurance prgram prvides supplementary insurance nly. Alberta Healthcare, Blue Crss r any ther emplyer health benefits must be the first surce fr all claims. If parent des nt have any health insurance cverage, then the CHA will cver the expenses as per their plicy. 24 P a g e 9/07/2017
25 Cach/Manager Guideline It is expected that the player s family will pay fr all expenses first, and the Hckey Alberta will reimburse allwable charges. Fr example, if an ambulance is called fr a player wh has been injured and the player is transprted t the hspital, the parent is expected t pay fr the ambulance bill and submit it t the CHA fr reimbursement if the cst is nt cvered by ther insurance surces. Parents can mail their claims directly t the Treasurer t be frwarded t Hckey Alberta. Any player r bench staff that has seen a dctr fr an injury (regardless where the injury ccurred i.e. wrk, schl), will require a nte frm a dctr that they are cleared t participate in any team event, befre they can participate. 25 P a g e 9/07/2017
26 Cach/Manager Guideline DRESSING ROOMS AND ARENAS Damage DMHA teams are expected t behave apprpriately while at any arena, and t leave dressing rms tidy. Any damage caused t dressing rms, arenas r arena facilities are the respnsibility f the team. Shuld a facility cntact DMHA that a dressing rm has been damaged, DMHA will pay the invice and add the cst t the team bill. N cell phnes, tablets, recrding devices are allwed in a dressing rm at any time. If a player has ne n them it must be turned ff (pwered dwn) r given t a bench staff befre entering the dressing rm. A designated team fficial can be assigned fr the playing f music n their device. Dressing Rm Plicy Please refer t DMHA website under the Managers Prtal fr DMHA s full dressing rm plicy. At least ne bench staff r the manager must attend all time when the players are required t be there. If the team has a plicy that the players are t be at the rink 1 hur prir t a game, then a bench staff r manager must als be there, and will be respnsible fr any issues that may arise with the team. 26 P a g e 9/07/2017

28 Cach/Manager Guideline APPENDIX A Game Day Jbs Guidelines fr Off Ice Officials (Penalty & Game Timekeepers/Official Screr/Gatekeepers) The fllwing guidelines fr ff-ice fficials shuld be reviewed briefly befre the start f each game t ensure each fficial is aware f what their respnsibilities are. As an ff-ice fficial, it is imprtant that yu remain as neutral as pssible t avid shwing impartiality r disrespect t either team, players r fficials. Avid any verbal and/r physical cnfrntatin with the players r caches. As per Canadian Hckey Official Playing Rules: Penalty Timekeepers and Gatekeepers Duties: The Penalty Timekeeper shall keep the time served by each penalized player during the game and, upn request infrm the penalized player as t the unfinished time f his penalty. If a player leaves the penalty bench befre his time has expired, the Penalty Timekeeper shall nt the time and advise the Referee at the next stppage f play. Nte: Attend the gate t the penalty bx always when players are serving a penalty. If a player wishes t leave the penalty bx befre the expiratin f his penalty r t take part in an altercatin, avid cnfrntatin and simply infrm the player that they are nt permitted t leave the penalty bx. Shuld they persist, d nt physically restrain them. Ensure their cnduct is reprt t the Referee at the next stppage f play. Where public address systems are used, the Penalty Timekeeper can annunce r have annunced the name f each penalized player, the nature f the ffence and the time the penalty was assessed. Official Screkeeper Duties: Enter n the fficial game reprt (game sheet) a crrect recrd f the gals scred, by whm they were scred and t whm assists, if any, are t be credited. They shall als keep a crrect recrd f all penalties, the infractin, and the time when the penalties were assessed. Request that all affiliated players dressed fr the game, be designated n the Official Game Reprt using the symbls AP after their name (in a similar manner t that used t designate the Captain and Alternate Captains) At the cmpletin f each game, the Official Screkeeper shall sign the Official Game Reprt, and then have the Referee sign it. They shall then frward the Game Reprt t the manager f the hme team fr frwarding t the league (with a cpy t the versing team). 28 P a g e 9/07/2017
29 Cach/Manager Guideline Prir t the start f the game, the fficial screkeeper shall btain frm the manager r cach r each team their cmplete line-ups, verify and signed by the team fficial in charge. The captain and alternate captains f each team shall be nted n the Official Game Reprt. The fficial screkeeper shall submit the Official Game Reprt t the referee prir t the start f the game and shall draw t their attentin any case which they feel des nt cmply t the rules. The fficial screkeeper shall advise the referee when the same player has received their secnd majr penalty, their secnd game miscnduct penalty, r their third stick infractin penalty during the same game. (stick infractin penalties: high sticking, slashing, crss-checking, spearing and butt-ending) Where a public-address system is in use, the fficial screr may annunce r have annunced, immediately fllwing the scring f each gal, the name f the player wh scred the gal and the name f each player wh received an assist. Official Timekeeper Duties: The Official Timekeeper shall recrd the start and finish f each game and all actual playing time during the game. The Official Timekeeper shall signal the referee fr the cmmencement f the game, the start f the secnd and third perid, and fr each vertime perid. The Official Timekeeper shall, by the means f a siren r whistle, signal the end f each perid, each vertime perid and the end f the game. The Official Timekeeper may annunce r have annunced when ONE MINUTE f actual playing time remains in each regulatin r vertime perid. In the event f any disputes regarding time, the matter shall be referred t the Referee in charge and their decisin shall be final. 29 P a g e 9/07/2017
