1 2017 IUPUI REGATTA STEERING COMMITTEE: POSITION DESCRIPTIONS It is an expectatin f all cmmittee members t dedicate a calendar year, frm December 2016 t December 2017, t their psitin and will be required t attend weekly cmmittee meetings n campus thrughut the summer f All applicants are expected t maintain a minimum f a 3.0 cumulative GPA and exhibit a high level f prfessinalism. All cmmittee members will be wrking with prgrams such as Micrsft Outlk, Ggle Drive, Trell, and Grup Me in rder t achieve successful cmmunicatin thrughut the crdinatin f the IUPUI Regatta. All psitin descriptins belw indicate the respnsibilities f each cmmittee member. It is essential t understand that yur respnsibilities may nt be limited t the fllwing descriptins, as the IUPUI Regatta is cntinually grwing and changing. Finally, be aware that all cmmittee members wrk tgether as a team, and verlap in their respnsibilities fr the entire year prcess. EXECUTIVE DIRECTOR Serves as the respnsible student leader fr bth IUPUI and the Indianaplis cmmunities Directs and versees the entire IUPUI Regatta Steering Cmmittee Respnsible fr leading biweekly (spring) and weekly (summer) bard meetings, verseeing prgress, and reprting t IUPUI cnstituent grups Wrks clsely with IUPUI Office f Alumni Relatins, the IU Alumni Assciatin, the IUPUI Alumni Cuncil, and advisr n the prgress f the Steering Cmmittee as a whle Must be knwledgeable n all aspects f Regatta and willing t devte a large amunt f time t the planning f the IUPUI Regatta ASSOCIATE EXECUTIVE DIRECTOR Respnsible fr verseeing the directrs and ensuring successful Regatta cmmittee peratin Wrks directly with Executive Directr and advisr t keep everyne apprised f the prgress f each cmmittee Addresses any cmmittee prblems that cannt be handled by directrs Organizes and facilitates weekly updates and prgress f cmmittees Represents the Regatta and cnducts business meetings when the Executive Directr is nt available Must be knwledgeable n all aspects f Regatta and willing t devte a large amunt f time t the planning f the IUPUI Regatta 1

2 DIRECTOR OF FINANCE Directs and versees the Finance Cmmittee Determines the Regatta budget fr all the cmmittees with the Executive Directr and advisr Manages the budget Wrking with his/her team, identifies and secures apprximately $75,000- $100,000 in cash spnsrships fr the IUPUI Regatta Tracks incme/expenses fr the entire event with the advisr Wrk directly with a team f alumni wh will help advise prgram Requests and secures payments frm waitlisted Regatta teams Must be knwledgeable n all aspects f Regatta and willing t devte a large amunt f time t the planning f the IUPUI Regatta COORDINATOR OF INTERNAL SPONSORSHIPS With the Directr f Finance, identifies and secures financial spnsrships frm campus partners including n-campus ffices and IU and Purdue Schls at IUPUI Crdinates the placement f the spnsrs fr the day f the Regatta Acts as the main pint f cntact fr internal spnsrs thrughut the entire planning prcess COORDINATOR OF EXTERNAL SPONSORSHIPS With the Directr f Finance, identifies and secures financial spnsrships frm ff-campus rganizatins Crdinates the placement f the spnsrs fr the day f the Regatta Acts as the main pint f cntact fr external spnsrs thrughut the entire planning prcess Secures dnatins fr fd, prizes, and ther miscellaneus giveaways. COORDINATOR OF FUNDRAISING (NEW) With the Directr f Finance, seeks and secures dnatins and cntributins t the Stefan Sctt Davis IUPUI Regatta Schlarship Fund Researches, emplys, and manages all frms f fundraising fr the Stefan Sctt Davis IUPUI Regatta Schlarship Fund (i.e., IU s Fundly) 2

3 DIRECTOR OF RULES AND TEAMS Directs and versees Rules and Teams Cmmittee Oversees all cmpetitin-related activities during the event Reviews, updates, and publishes the fficial race rules packet fr the Regatta Updates and leads the team-member rientatin Wrks directly with a team f alumni wh will help advise prgram. Must be knwledgeable n all aspects f Regatta and willing t devte a large amunt f time t the planning f the IUPUI Regatta COORDINATOR OF RULES AND TEAMS Create r update the nline team registratin frm Crdinates team registratin during the event Wrk with advisrs t select dates fr practice sessins Organize sign ups and scheduling with registered teams Liaisn with IU Outdr Adventures fr training during practice sessins DIRECTOR OF THE FESTIVAL Directs Festival Cmmittee and all aspects f the nn-race prtins f the Regatta Cmmunicates with the Student Organizatins (bth graduate and undergraduate) and IUPUI Greek Life regarding Regatta events, activities, and cmpetitins thrughut the entire planning prcess Cmmunicates with any ther ffices n campus wh have events in cnjunctin with the Regatta (i.e. Office f Student Invlvement, Athletics Office, IU Fundatin, r the Office f Student Life) Leads effrts amng the Festival Cmmittee t grw the festivities ffered befre and during the IUPUI Regatta Must be knwledgeable n all aspects f Regatta and willing t devte a large amunt f time t the planning f the IUPUI Regatta COORDINATOR OF CONTESTS Respnsible fr planning aspects f the fllwing cntests: dg-cstume cntest, team theme, and banner cmpetitin Researches and ptentially emplys new cntests t ffer as a part f the IUPUI Regatta festivities 3

4 Oversees and creates rules and registratin fr all Regatta cntests as well as assign prizes fr each cntest winner Manages all cntests thrughut the entire prcess, frm pre-event t the day f events Wrking with the marketing cmmittee, prmtes cntests with the IUPUI and Indianaplis cmmunities COORDINATOR OF FAMILY & COMMUNITY AREA Secures Main Stage and Family & Cmmunity area entertainment fr the event Develps a timeline fr the day f the Regatta based n the availability and length f play time fr each entertainer signed Crdinates all entertainment fr the event frm pre-event cmmunicatin t tear-dwn Researches and ptentially emplys new frms f entertainment and festivities fr the IUPUI and Indianaplis cmmunity members t enjy befre and during the IUPUI Regatta COORDINATOR OF VENDORS Respnsible fr identifying nn-fd vendrs fr the Regatta. Respnsible fr crdinating placement fr nn-fd vendrs (wrking with the Directr f the Festival and the Festival Cmmittee) fr Regatta map Secures fd vendrs fr the event Ensures that fd vendrs are cntracted and pay their fee t participate in the event Liaisn with the Marin Cunty Health Department Crdinates all fd vendrs fr the event frm pre-event cmmunicatin t tear-dwn DIRECTOR OF MARKETING Directs and versees the Marketing Cmmittee Serves as liaisn with IU Cmmunicatins staff Crdinates signage present and visible during the event Must be knwledgeable n all aspects f Regatta and willing t devte a large amunt f time t the planning f the IUPUI Regatta COORDINATOR OF MARKETING STRATEGIES Develps and implements a cmprehensive campus marketing plan fr prmting the Regatta 4

5 Wrks with utside cmpanies and news media (including media spnsrs) t further prmte the Regatta arund the Indianaplis cmmunity Researches and emplys new frms f marketing fr the IUPUI Regatta COORDINATOR OF SOCIAL MEDIA Uses all frms f scial media t prmte the Regatta t students, faculty, staff, alumni, and the Indianaplis cmmunity Manages the fficial IUPUI Regatta Twitter, Instagram, and Facebk accunts Wrks clsely with the SOAR VP fr Marketing t ensure cnsistent messaging acrss all scial media sites Serves as liaisn with the IU Alumni Assciatin, IU Cmmunicatins, and IUPUI scial media managers Recgnizes the event spnsrs n the scial media utlets as well as specific events that will be incrprated with the day Respnsible fr adequate pstings n scial media utlets and wrks t develp new electrnic methds t market the event Serves as main scial media crrespndent fr day f the IUPUI Regatta COORDINATOR OF GRAPHIC DESIGN Wrks clsely with entire cmmittee t accurately display all visual elements f the IUPUI Regatta Wrks clsely with the Directr f Media fr event vide prductin Wrks clsely with ther campus entities t crss prmte campus events fr the betterment f bth student invlvement acrss IUPUI, and partnerships between the IUPUI Regatta and ther IUPUI entities Creates and/r versees the creatin f psters, fliers, scial media graphics, and ther essential design elements fr the IUPUI Regatta DIRECTOR OF LOGISTICS Directs and versees the Lgistics Cmmittee Cntacts cmpanies and finalizes cntracts t secure all service-related items Creates clean-up plan fr the event, which includes trash and recycling services during the event Crdinates all service-related cmpanies fr the event frm pre-event cmmunicatin t tear-dwn Must be knwledgeable n all aspects f Regatta and willing t devte a large amunt f time t the planning f the IUPUI Regatta 5

6 COORDINATOR OF VOLUNTEERS Manages nline vlunteer registratin prcess with assistance frm the IU Alumni Assciatin Creates vlunteer schedule based n vlunteers chsen shifts Wrks clsely with the Student Organizatin fr Alumni Relatins t designate SOAR lead vlunteers Liaisn with the Student Athlete Advisry Cmmittee (SAAC) and athlete participatin during the Regatta Develps efficient cmmunicatin methds as well as incentives fr vlunteers Schedules, updates, and leads the vlunteer rientatins Identifies and recruits spnsrs t assist with vlunteer appreciatin alngside the Finance Cmmittee Directs all vlunteers the day f set up and race day DIRECTOR OF MEDIA Directs and versees the Regatta Media Cmmittee Wrks clsely with dedicated alumni, the audi and visual perfrmance cmpany, and prductin crew t create all f the necessary graphics, vides and audi/visual elements assciated with the Regatta Wrks clsely with the marketing t create a many f the visual elements used t prmte the Regatta befre, during, and after the event Needs t have exemplary graphic and videgraphy design skills Must be knwledgeable n all aspects f Regatta and willing t devte a large amunt f time t the planning f the IUPUI Regatta COORDINATOR VISUAL COMMUNICATION Assists directr with the creatin and executin f vides and mtin graphics fr the event Has a high level f graphic and videgraphy design skills Serves as an additinal pint persn thrughut the day f the Regatta fr cmmunicatin and entertainment f the race 6
